Concordia University Chicago (CUC) invites applications for the full-time, non-exempt position of Office Coordinator for Undergraduate Academic Advising. This position reports directly to the Director of Academic Advising & Study Abroad and is located in River Forest, IL.

The Office Coordinator for Undergraduate Academic Advising will be responsible for assisting students, faculty, and staff as well as coordinating front desk and administrative duties for the department.

Responsibilities/Duties:

  • Provides a welcoming and professional, student-oriented environment to assist students, faculty and staff in person, by phone, and via e-mail
  • Screens inquiries to determine individual needs and facilitate timely and efficient service; provides follow-up to ensure satisfaction with and effectiveness of services
  • Coordinates new student appointments and registration with Academic Advisors
  • Assists with scheduling, overseeing, and approving the timesheets of student Advising Assistants
  • Organizes and maintains an electronic filing system for student files and office forms/information, preparing and processing paperwork as needed
  • Communicates events, deadlines, Academic Advising news, and registration updates to the Concordia community at-large and individual students
  • Assists Academic Advisors in planning and coordinating general information sessions and workshops throughout the school year
  • Orders and maintains office supplies and forms
  • Assists with the department's student experience initiatives as assigned, utilizing a variety of university data to promote student academic success
  • Candidates must support and be committed to the mission and identity of Concordia University Chicago, a university of the Lutheran Church - Missouri Synod (LCMS)
  • Skill Sets:

  • Strong administrative skills, including related computer and technology skills
  • Superior verbal, written, and interpersonal communication skills
  • Familiarity with software such as BANNER, Microsoft Office, EAB Navigate, and Ellucian Degree Works
  • Familiarity with FERPA regulations
  • General knowledge about academic advising and higher education
  • Attention to detail and commitment to accuracy and organization
  • Proficiency in oral and written English; bilingual Spanish highly desired
  • Ability to prioritize multiple tasks and consistently meet goals
  • Enthusiastic supporter of Lutheran higher education and Concordia University Chicago
  • Minimum Experience Required:

    1-2 years' experience in administrative work required, preferably in higher education and/or student advising

    Bachelor's degree required
