Job Description:

The WKU Department of Theatre & Dance is seeking applicants for a full-time Office Coordinator. This person will provide primary office support for a very active department of 14 full-time faculty/staff, 8 part-time faculty/staff, 15 student workers, and 160 majors.

Responsibilities will include:

  • Overseeing office operations and maintaining office supplies and equipment.
  • Working with program coordinators to develop, input, and maintain the department's complex schedule of classes.
  • Supervising student office workers.
  • Coordinating the hiring process, performance contracts, and payroll for part-time faculty, staff, student workers, and guest artists.
  • Coordinating all publicity and promotional efforts, including advertising, social media, and the creation of promotional and recruiting materials.
  • Overseeing the department's busy events calendar.
  • Serving as Building Coordinator for Gordon Wilson Hall.
  • Coordinating the calendar of the department chair.
  • Communicating with prospective students and scheduling visits and tours.
  • Working with college staff to coordinate the processing of deposits and receipts, purchasing, tracking budgets, and overseeing all department accounts.
  • Record-keeping for faculty and student grants and travel.
  • Serving as webmaster for department.
  • Coordinating department scholarship distribution.
  • Coordinating communications within department.
  • Knowledge and Skills Considered Essential for Success:

  • Ability to establish priorities and work independently.
  • Organized and detail oriented with the capacity to work in an environment with frequent interruption.
  • Excellent written, verbal, and interpersonal communication skills, customer service skills, problem solving and decision-making skills, and telephone etiquette.
  • Ability to work in a team environment and interact professionally with a wide spectrum of individuals to include faculty, staff, administration, and vendors.
  • Ability to operate office equipment such as scanners, printers, copiers, multi-line phones, etc.
  • Proficiency in Microsoft Office and Google Docs.
  • Ability to learn and operate multiple software systems.
  • Requirements:

  • Two-year post-secondary education, plus 2 years related administrative experience.
  • Additional Information:

    Salary Range: $16.67-$17.43/hr
