Job Summary

Responsible for overseeing the administrative services for the Department. Perform duties related to personnel, budgeting, fund management, and strategic planning. Assist the Chair and Associate Chair in a variety of administrative duties. Requires extensive exercise of independent judgment, initiation, and ability to make decisions relative to office operations. Must stay abreast of all UTA policies and procedures to serve as backup to any staff member and train new members.

Essential Duties and Responsibilities

  • Fund Management-Provides coordination and administration of financial matters, including (but not limited to) the following: annual budget, cost centers, and grant project accounts. Analysis, monitoring, reconciliation, and reporting are conducted and presented to Chair and principal investigators. Completes monthly and annual departmental budget reconciliation, resolves discrepancies, and confirms accuracy when budget loads. Facilitates departmental purchases, confirms fund availability, reviews account balances, and facilitates grant and cost center close outs.
  • Relieves Chair and Associate Chair of a wide variety of internal duties and a large volume of decisions which require a thorough understanding of the functions, programs, and policies of the University. Interprets leadership's decisions and policies. Works with department staff to schedule classes, enter faculty as instructors in MyMav, and reserve classrooms.
  • Personnel-Onboards new Faculty and Staff, HRMS updates, eForm submissions, departmental appointments, as well as supervises and facilitates hiring of two support staff and various student workers. Processes semi-monthly and Timekeeper reporting.
  • Arranges meetings, conferences, and workshops; prepares the agendas; and provides refreshment services. Composes complex correspondence, memorandums, and fliers to distribute to the department and other entities.
  • Maintains personnel records for faculty and staff including recruitment forms, appointments, change of status, terminations, and performance evaluations.
  • Strategic Planning-Creates staff hiring plan, assists with faculty hiring plan, reviews department procedures, creates solutions, and implements improvements.
  • Works with faculty (principal investigators) to budget graduate research assistantship positions in their research proposals. Monitors GTA/GRA data, makes indicator updates in MyMav, and provides reports to Chair and/or Dean.
  • Performs other duties as assigned.
  • Required Qualifications

  • Bachelor's degree or equivalent.
  • Three (3) years of experience in a large academic department.
  • Excellent communication skills (written and verbal).
  • Ability to communicate and liaise with faculty and administrators.
  • Preferred Qualifications

  • At least two years of experience managing office staff.
  • Knowledge of the University's academic policy and procedures.
  • Knowledge of PeopleSoft.
  • Efficient and competent working knowledge of Microsoft Office.
  • Proficient knowledge of UTShare, MyMav, Canvas, Mentis, Digital Measures and other various UTA programs.
