Position Summary
The Military and Veterans Services Specialist & School Certifying Official
provides front-line military affiliated student support for UIW Military &
Veterans Affairs. Position is responsible for the administration of federal
Department of Defense (DoD) Tuition Assistance and Department of Veteran
Affairs (VA) Educational Benefits. Position communicates with the students,
instructors, staff, UIW departments, and other stakeholders and/or customers
to maintain and expand positive internal and external relationships developed
by the Director and Senior Director to sustain institution goals, retention,
and graduation rates. Position reports to the Director Military & Veteran
Center and School Certifying Officer.
This position is considered a “Responsible Employee” under Title IX federal
regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual
Misconduct Policy. As a Mandatory Reporter, this position requires you as the
employee to promptly report any incident that you witness or receive
information about Title IX violations. These reporting responsibilities are
set out in the UIW Sexual Misconduct Policy.
Job Duties
Job Duty Name Reporting and Documentation
Description of Job Duties
Report certifications, adjustments, and terminations of VA benefits and
other related information to the VA and other university departments for
benefit payments.
Report tuition/fees for VA beneficiaries every semester.
Report short pays, over-payments, and yellow ribbon to VA and other
university departments.
Prepare VA certifications for coding into banner for reporting purposes.
Review and provide lists to the business office to apply military
discounts. Report balance adjustments to the business office.
Review TA forms for accuracy and contact students as needed for
corrections.
Post the term course schedule, grades, graduation, class catalog updates,
student agreements, enrollments and others in military portals and
maintenance thereof.
Maintain accurate records and maintenance in military, VA, and UIW
databases.
Ensure compliance with UIW, state, federal, VA, and DoD regulations.
Job Duty Name Communication
Description of Job Duties
Present on VA Educational Benefits and Tuition Assistance at orientations,
informational sessions, and training events.
Collaborate on outgoing Military and Veteran Center communications to
students such as social media, email reminders, and monthly Newsletter.
Exchange non-routine information using tact and persuasion as appropriate
requiring good oral and written communication skills.
Collaborate and maintain strong working relationships with other
university employees across various departments in the spirit of teamwork
and collegiality.
Communicate and maintain strong working relationships with representatives
from VA, DoD, and the Texas Veterans Commission.
Disseminate information to inquiries by email, phone, and walk-ins,
regarding military and veteran programs. Provide quality customer service
and resolve customer concerns and issues.

Provide training on VA Educational Benefits.
Provide annual refresher military education benefits training to all
admissions counselors, advisors, and support specialists on updated
programs and policies.
Job Duty Name Assistant Military and VA Portals Liaison
Description of Job Duties
Serve as assistant Military and VA Portals Liaison to support UIW military
students utilizing Tuition Assistance and VA educational benefits.
When required, assist Military Programs Coordinator and Director with
managing active-duty military portals and VA portals.
Job Duty Name Office Operations
Description of Job Duties
Assist in daily operations of office, including but not limited to
clerical and administrative duties, supervision of work-study students,
and responding to student inquiries by phone, email, or walk-in.
Perform other duties as assigned.
Qualifications
Knowledge Skills and Abilities
Strong mathematical, writing, and verbal communication skills.
Ability to effectively conduct basic presentations.
Ability to communicate and work well with current/potential students and
UIW faculty/staff.
Strong use and knowledge of professional business etiquette in the
workplace.
Ability to identify, solve, and follow through on problems.
Strong attention to detail. Ability to maintain accurate records in
military, VA, and UIW databases.
Ability to manage multiple tasks and priorities.
Proficiency with personal computer, as well as Microsoft Windows operating
system and Office software.
Ability to work effectively with individuals from diverse communities and
cultures.
Employee shall adhere to all applicable rules and regulations of the
University, the Conference, and the NCAA.
Required Education
Associates Degree or 60 college hours.
Required Work Experience
One (1) to two (2) years of administrative experience in a complex office
environment.
Preferred Qualifications
Bachelor's Degree from a regionally accredited institution.
Military Veteran of the U.S. Armed Services with 2-3 years' experience
working with veterans/military family members.
Experience with military and VA education portals or working with DoD and
VA education benefits.
One (1) to two (2) years of administrative experience in an academic
setting.
Experience working with UIW students, programs, and departments.
Required Certifications, Licenses or Registrations
Valid Texas Driver's license and driving history that is insurable with
university insurance carrier.
Must be 21 years of age.
Work Hours
Monday – Friday, 8:00 a.m. – 5:00 p.m.
Some evenings and weekends required to attend occasional outreach and
recruitment events.
Occasional local travel, plus yearly attendance at national training
conferences.
Physical Demands
May occasionally require the ability to lift and carry materials and
equipment weighing up to 25 pounds;
Occasionally required to reach heights up to 8 feet by climbing ladders or
stools;
Ability to bend or crouch to reach materials or equipment stored on lower
shelves or in lower cabinet/desk drawers.
