Position Description
Responsible for management and administration of daily clinical operations in
partnership with the multi-disciplinary
healthcare team including but not limited to the medical director,
departmental nursing staff and departmental patient access staff.
Additionally, works in concert with the departmental administrator to
address/resolve provider-related clinical/medical matters while also serving
as the primary departmental liaison to the Clinical Affairs leadership team.
Assures efficient/timely clinic throughput, quality of care and patient
safety.

Major/Essential Functions
In conjunction with the medical director and patient access
staff/leadership, evaluate provider scheduling templates.
Generate/implement recommendations to improve patient flow, decrease
patient wait time and improve physician/staff efficiency.
Responsible for oversight of patient satisfaction outcomes; monitor survey
responses; identify areas for improvement; implement solutions; set
expectations; serve on improvement committees.
Analyze scheduling and phone management data and information to improve
services. Participate in the review of patient scheduling, check-in/out,
and clinic workflows in order to evaluate effectiveness and efficiency.
Develop and/or implements programs, policies, practices for the clinic
which are consistent with institutional patient access standards.
Supervise major office projects; identify equipment and office support
needs; review current clincal operating procedures to develop an
efficiency-based work flow model.
Perform basic data studies/analysis requested by the medical director,
department administrator, and/or Clinical Affairs leadership team.
Assist in monitoring Avaya system lines for utilization, staff performance
and customer service response time. Work with patient access staff and
leaders to reduce time of calls and call abandonment rates.
Receive inquiries from within and from outside TTUHSC EP. Personally
resolves or refers to appropriate person.
Advise faculty, staff and patients on relevant clinical policies and
procedures.
Develop plans to meet compliance goals, patient/customer satisfaction
expectations and quality of services provided.
Actively participate in the development and implementation of new clinical
services and/or the addition of new physicians/ LIPs to the clinic.
Participate in interviews and makes recommendation for hire for all
ancillary/Allied Health and departmental administrative support staff.
Onboard, orient and train new employees to the clinic; reviews and
evaluates the performance of assigned personnel.
In consultation with the HR Employee Relations Managing Director, makes
recommendations and issues regarding performance management actions
including and up to termination; conducts appropriate and timely annual
evaluations for assigned staff; functions as department payroll manager
(time card approver and time off/leave request approver).
Ensure staff is current with all mandatory compliances and adhere to all
policies and procedures.
Responsible for tracking and maintaining records for departmental job-
required certifications and licensure of staff.
Meet regularly with department physicians and nursing staff to review
scheduling logistics to improve the use of clinic rooms, nurse assignments
and the design of optimal daily templates for the distribution of visits
over the day and week.
Meet regularly and collaborate with patient access leadership to assure
continuous improvement of patient scheduling and provider/patient
communication.
Develop strategies and provide recommendations to support and improve
clinical operations processes for the department; prepare and present
reports to departmental leadership, medical directors, Clinical Affairs
leadership and/or other committees as requested.
Maintains the ability to establish and build effective and productive
working relationships across, and at all levels, of the institution.
Consistently adheres to all policies, procedures and practices (Regents
Rules, TTUS, HSCEP OPs, etc.).
Personally demonstrates, displays, and acts in accordance with TTUHSC EP's
