Job Description

The Marketing Assistant for the department of Communications & Marketing provides executive management services to the Vice President, and administrative support for the Communications and Marketing Department. This position is responsible for coordinating the calendar and schedule of the Vice President; travel arrangements; telephone calls; and professional correspondence as needed. Departmental administrative functions include supply ordering; general office upkeep; operational budget management; invoice processing; credit card reconciliation; and student employee payroll processing. This role assists with marketing and communications projects as needed in addition to assisting with inventory ordering and tracking for Otis College's virtual and on-campus branded retail presences. This position reports directly to the Vice President, Marketing.

Location Los Angeles, CA (Westchester) Essential Duties Summary

· Provides detailed executive assistant services for the Vice President of Marketing. Makes daily administrative and operational decisions on the executive's behalf and ensures the executive is informed of relevant matters. (25%)

· Oversees departmental administrative functions including operational budget tracking and oversight, equipment and supply ordering, invoice processing, credit card reconciliation, student employee payroll processing, general office upkeep. (25%)

· Manages, monitors, and coordinates calendar for the Vice President of Marketing including meetings and event commitments. Helps determine priorities for the executive's calendar and coordinates efforts of other staff scheduling their time. Alerts the executive of appointments needing to be rescheduled and reschedules existing appointments as appropriate. Coordinates travel for the executive. (20%)

· Assists with Project and Design Manager with inventory ordering and tracking support for the College's virtual and on-campus retail stores (15%)

· Assists with general marketing and communications projects as needed and performs other related duties as assigned. Must be responsive to work-related phone calls and emails during non-business hours on occasion. (15%)

· Performs other related duties as assigned.

Required Qualifications

● Bachelor's degree or combined experience/education as substitute for minimum education.

● A minimum of 2-3 years related work experience is required in a progressively responsible administrative role in an executive office or a marketing and communications department.

● An understanding of the principles of marketing and communications and a knowledge of traditional marketing tools.

● Individual must have a heightened sense of protocol and diplomacy and the ability to exercise sensitivity, confidentiality, and discretion in every matter.

● This position requires excellent writing, proofreading, and oral skills; strong organizational skills to address, prioritize, and coordinate multiple projects, problems, and activities concurrently.

● A strong eye for detail and project timelines.

● This is a hybrid role, and the candidate must be willing to work in the office a minimum of three days per week.

Preferred Qualifications

● Experience working in a higher education setting is a plus.
