Position Summary Information

General Description/Position Purpose

Responsible for providing administrative support to the Human Resources office, managing the daily COVID-19 (“COVID”) student services and operations as well as supporting the Environmental Health & Safety Manager.

COVID/ENVIRONMENTAL HEALTH & SAFETY This position supports all the operating functions at the University. The person in this position must differentiate, coordinate, and operate within the various and unique aspects of each function. Duties include: · Coordination of student services requires extensive communication, both electronic and in person, to administrators, university staff and faculty, and students. These communications include the need for physical facilities, food service, academic services, and other special requirements. · Assist with creating procedures, policy and set up of testing operations and quarantine/isolation support services. · Coordination with all departments for all COVID related matters. · Administration of all aspects of COVID student services. · Maintain up-to-date inventory of COVID related supplies and PPE and perform ordering as necessary. Fulfillment of supply requests as received by university departments. This can include lifting and moving boxes that weigh up to 30lbs. · Directly responsible to independently process all financial transactions for the office. This includes: o Managing the processing, accounting, and reporting of funds related to the COVID expenses and grants. o Monitoring all budgets for the department. The budget-tracking must be precise and follow all federal funding requirements. · Independently compiles and maintains comprehensive financial data. Report accuracy is crucial to ensure accurate distribution of federal funds due to the COVID pandemic. · If applicable, maintains the COVID dashboard on the Raider Respect webpage and creates new updates as needed. · As required, the following duties may be performed with minimal direction / supervision: o COVID Case investigation and contact tracing. o Compile and accurately maintain all vaccination and testing records. o Administrative decisions concerning operational procedures, scheduling of projects and compilation of reports may be made independently as conditions dictate. o Maintain all COVID case related data, including case/vaccination tracking, reporting, etc. o Provide communication to all necessary constituents regarding students' isolation/quarantine status. o Coordinate and assist with procurement and posting of new COVID related signage/flyers across campus. · Develops and coordinates the schedule, support, and promotion of the university's COVID student staff as well as COVID Support team. · Responsible for trouble shooting and coordinating solutions with the testing at the health center. · Assists in the review and revision of operational documentation. · Manages daily office duties, including COVID protocol and policy inquiries; parent, faculty, staff and student questions regarding their isolation/quarantine questions, concerns, or complaints. Defuses those who are very concerned and/or irate; general office duties and communicate necessary information timely and appropriately. · Assist and support the Environmental Health & Safety Manager includes the following responsibilities: o Coordinate and schedule meetings when requested, along with all other general office duties. o Assist with monthly fire extinguisher inspections · Perform other duties as assigned.

HUMAN RESOURCES

· Provide administrative support to HR Director, Title IX Coordinator and HR Department. · Serves as assistant, information source, and researcher for the Human Resources Department. · Responds to general personnel and payroll inquires related to the functional responsibilities of the department. · Carry out assignments requiring the organization of material and development of procedures. · Takes on multi-step tasks involving data processing and spreadsheet work and completes these tasks with high accuracy. · Thoroughly knows the rules and procedures and/or can quickly locate them for the major and minor functions of the office. · Occasionally review various HR related procedures and processes and provide input for improvement. · Maintains confidentiality in working with materials utilized to prepare reports pertaining to administrators, faculty, and staff. · Assist with compiling search documentation, letters and other information that is required by outside legal counsel for matters related to immigration or visa sponsorship. · Responsible for ordering, monitoring completion of, and handling payment for background clearances for non-faculty University employees, including student workers. Functions as the University liaison with the contracted agencies who provide the clearances. · Assist as needed with tracking all performance evaluations for non-faculty and non-management positions within the University. This includes management of probationary related evaluations and regular annual documentation. · Utilize University financial system(s) for budget management, including, but not limited, entering purchase requisitions, funds reservations, transfer funds within our funds center, monitor and submit procurement card purchases, order supplies from the warehouse and outside vendors. Maintain records for inventory, equipment, and publications and memberships assigned to and purchased by the office. · Assist with annual Statement of Financial Interests collection and tracking.

· Maintain a functional awareness of the typical hazards of the workplace and follow established procedures for dealing with those hazards. · Use appropriate safety devices and equipment to ensure the safety of co- workers and the campus community. · Report to supervisor promptly any unsafe acts or accidents on the job; if injured, also report promptly to University Safety Coordinator. · Maintain an acceptable attendance record and comply with the approved alternate work schedule, i.e., break period, meal period, start and closing time. · Maintain a positive and cooperative working relationship with co-workers and the campus community. · Communicate effectively orally and in writing with co-workers, faculty, staff, and students.

Minimum Qualifications

MINIMUM EXPERIENCE AND TRAINING: Such training as may have been gained through graduation from a four-year college or university or any equivalent combination of experience and training.
