Nature & Purpose of Position

Lead metadata entry position for Special Collections projects that have been digitized by the SHSU Digital Initiatives Department using Dublin CORE metadata schema. Provides support to Special Collections Librarian and Special Collections Associate in reference services for the department. Daily job duties consist primarily of metadata entry for digital projects, processing and description of archival materials, reading room and collections supervision, and working with the researching public.

Primary Responsibilities

  • Creates and describes digital objects/collections for ContentDM (Digital Management Collection Software)
  • Assists with creating finding aids of archival materials according to archival best practices and metadata standards and uploads these finding aids to Archive Space
  • Organizes and arranges manuscript collections physically and enters detailed metadata for online finding aids and digitized items
  • Assists with ongoing scanning projects by providing collection information and pertinent insight to digitization personnel
  • Assists in the selection of Special Collections materials to be digitized
  • Works with the Special Collections Librarian to sort, organize and provide access to collections located in SHSU Special Collections
  • Assists county records patron with remote and in-person research inquires
  • Assists with students, faculty, staff, and other library patrons in locating and interpreting library resources in the SHSU Special Collections
  • Enforces the policies and procedures of SHSU Special Collections
  • Performs routine preservation of materials under supervision of the Special Collections Librarian
  • Book and manuscript preservation and repair
  • Organizes and label folders and boxed according to appropriate archival protocol
  • Assists in planning and installing exhibits
  • Assists with supervision of student assistant(s)
  • Performs other duties as assigned

    Position spends 75% of time in detailed preservation, processing and description of archival materials and 25% of time in working with the researching public. Normally will be involved in routine contacts with faculty, staff, students, and other patrons and some important contacts with other universities. Ability to deal effectively in contacts with people is necessary. Working conditions are normally in a semi-private or general working area of the library with little or no disagreeable conditions. Ability to operate general office machines and familiarity with Windows type computer applications is needed. Must be able to lift and carry up to 50 pound boxes; load and push book trucks; and shelve books. May require the ability to type.

    Work schedules are generally 8 a.m. – 5 p.m. However, work schedules may vary according to library needs which include evening work and weekends. Some positions are scheduled exclusively for evening and weekend work.

    Up to 20% of this position, over the fiscal year during off-peak periods, may be performed remotely as determined by the supervisor.
