Posting Summary

Rutgers, The State University of New Jersey, is seeking a Lead Surgical Scheduler/Patient Liaison for the Division of Plastic and Reconstructive Surgery, Department of Surgery, at the Rutgers Robert Wood Johnson Medical School.

The primary purpose of the Lead Surgical Scheduler/Patient Liaison is to ensure that all office visits, surgeries in the OR, out patient procedures are scheduled in an organized, efficient, and timely manner. In addition to scheduling, position is responsible for contacting insurance companies to obtain authorization prior to all procedures. Serves as a liaison between Plastic and Reconstructive surgery and all surgical divisions requiring plastic surgeons present during surgery, the hospital operating rooms, radiology, oncology, insurance companies, patients, and third party vendors whose equipment is required in the OR. Position requires interaction and competency in providing care to patients in all age categories.

Among the key duties of this position are the following:

  • Performs all of the following duties in a professional manner which reflects the nature of Rutgers Robert Wood Johnson Medical School.
  • Must be proficient in ICD-10 and CPT Plastic Surgery coding. Main liaison to the RWJUH OR staff to ensure that all instruments and appropriate staff/technicians are available in the OR.
  • Must be proficient in IDX, EMR, and Centricity.
  • All acquired information relevant to each surgeon's surgical schedule must be accurate and entered in a timely manner. Must organize and maintain the clinic and surgical schedules for physicians and physician assistants.
  • Pre-certifies all OR cases and out-patient procedures. Ensures that all pre-certifications and authorizations are documented in EMR and that all relevant information is entered that complies with the patient's insurance.
  • Maintains surgical procedure spreadsheet for payment reconciliation.

    Qualifications

    Minimum Education and Experience

  • Four (4) years of progressively more responsible clerical experience, including receptionist and scheduling duties, plus at least two (2) years of procedure scheduling.
  • Certifications/Licenses Required Knowledge, Skills, and Abilities

  • Proficient in ICD-10 and CPT coding.
  • Knowledge of Microsoft Office, specifically Word, Excel, and Outlook.
  • Detail oriented and possess excellent interpersonal communication and organizational skills.
  • Must be able to multi-task in a busy office environment.
  • Preferred Qualifications

  • Experience using NaviNet and Epic
  • Equipment Utilized Physical Demands and Work Environment

  • Physical Demands: Standing, sitting, walking, talking, or hearing. No special vision requirements. Ability to lift or exert up to 25 lbs.

    Immunization Requirements
