  • Position Summary

    Reporting directly to the Senior Director of the Research Pharmacy (the "Director") of the Clinical Trials Office (the "CTO") of Columbia University's Vagelos College of Physicians & Surgeons ("VP&S") at Columbia University Irving Medical Center ("CUIMC").

    The successful candidate will work with Research Pharmacists, Research Pharmacy Coordinators, and Lead Administrative Coordinator, in providing essential support in training of the coordinators, Quality Assurance, inventory control, pharmacy organization, and maintenance of multi-center clinical trials.


    The Lead Coordinator is responsible for the following:

  • Conduct Quality Assurance (QA) reviews and report QA data for Research Pharmacy Services as needed.
  • Track and monitor staff training, including but not limited to aseptic technique training, initial training and annual training, to keep compliance with JCAHO and institutional requirements.
  • Track and monitor licenses and registration.
  • Track and report operation and service metrics.
  • Troubleshoot issues with research pharmacy hardware, software (Eoscene, TempGuard, Omnicell, Vestigo, computers, etc.), and refrigerator units and escalate to the appropriate maintenance group as needed.
  • Assist in updating Research Pharmacy Standard Operating Procedures (SOPs) on ongoing basis.
  • Provide coverage for research pharmacy coordinators if needed during vacation and sick days. This includes performing basic pharmacy coordinator duties such as receiving shipments, conducting monitoring visits, and transporting materials between pharmacy sites, storage areas, and patient care units.
  • Perform other duties as necessary to fulfill the obligations of the Research Pharmacy
  • Conduct monthly remote monitoring visit for applicable sites.
  • Perform Research Pharmacy Coordinator orientation for new staff.
  • Conduct inventory control.
  • Conduct QA on pharmacy coordinator duties to ensure all deadlines are met.
  • Oversee temperature monitoring of research pharmacy units.
  • Assist in ordering of investigational products, supportive care medications, supplies, and printer labels as needed.
  • Conduct inspection reports:

  • Omnicell Security Report (quarterly)
  • Vestigo Security Report (monthly)
  • Collect and archive reports:

  • Signed officer timesheets (monthly)
  • Cleanroom/EVS cleaning reports (monthly)
  • ENV Hood cleaning reports (monthly)
  • Humidity Meter Reports (data is downloaded & collected monthly)
  • • Collect and track general supplies packing slips and follow up with missing and out of stock items

  • Schedule maintenance visits for:

  • ENV (monthly hood cleaning and biannual sampling and certification)
  • EVS (daily cleaning, monthly deep cleaning and quarterly floor care)
  • A&L (biannual calibration)
  • Tracking of employee certifications:

  • RASCAL training
  • USP 797 training
  • University, hospital , and state required training or certification
  • Initial certification and annual Recertification of staff for aseptic trainings
  • Minimum Qualifications

  • Bachelor's Degree or equivalent in education and experience and a minimum of 3 years of related experience required. Pharmacy experience required.
  • Preferred Qualifications

  • Pharmacy technician certification preferred.
  • Related experience in a research pharmacy setting.
  • The candidate must be able to work independently.
  • Demonstrated verbal and written communication skills.
  • Excellent interpersonal and presentation skills.
  • Strong organizational and project management experience.
  • Proficient experience with PC software required including, Microsoft Office (Word, Excel, PowerPoint), Outlook and data management.
  • A medical surveillance exam, Information, Security & HIPAA Compliance Training, and Laboratory Safety & Hazardous Waste Training are required
