Under general direction from the Associate Director of Systems, utilize Banner Financial Aid, Cognos reporting tools, MS Office, and other software programs including but not limited to US Department of Education's Common Origination and Disbursement (COD), Central Processing System (CPS), National Student Loan Data System (NSLDS), EDConnect and TDClient systems, as well as California Student Aid Commission Webgrants, to perform data import and export activities, manage the flow of data, troubleshoot and resolve system needs within the Office of Financial Aid and between University of La Verne departments and external agencies.

Specific Duties

  • Utilizing the Banner Financial Aid management system, Automic job scheduler, US Department of Education systems, and MS Office tools, manage the flow of data within the Office of Financial Aid and between University of La Verne departments and external agencies.
  • Import all Institutional Student Information Records (ISIR) from CPS and California Dream Act Applications (CADAA) from Webgrants to maintain the inbound flow of applications for financial assistance.
  • Assist in the determination of unmatched applications to person records in the Banner Financial Aid management system.
  • Execute tracking processes to determine document submission requirements, and generate initial and follow up communications with aid applicants accordingly.
  • Execute cost of attendance (COA) budgeting processes to determine federally allowable educational expenses for all admitted aid applicants.
  • Utilizing Office of Admission criteria, execute scholarship assignment functions to provide offers of scholarship to eligible admits.
  • Execute need analysis and financial aid packaging processes to determine all federal, state, and institutional funding eligibility for admitted aid applicants.
  • Generate offers of financial aid to packaged admits, both for email and print transmission.
  • Collaborate with the Office of Admission to maintain the transmission of data between Banner Financial Aid management system and Slate CRM, including application, eligibility, and award information.
  • Assist in the annual configuration and testing of the Banner Financial Aid management system, including modifying existing Oracle SQL based rules and scripts, developing new rules and scripts as determined by the Associate Director of Systems, and test outcomes for satisfactory results.
  • Create Grant and Direct Loan origination records for transmission to Common Origination and Disbursement (COD). Resolve any errors in record creation.
  • Generate outbound ISIR application correction files for transmission to Central Processing System (CPS) and Webgrants. Resolve any errors in record creation.
  • Generate transfer monitoring and aid history request files for transmission to National Student Loan Data System (NSLDS). Resolve any errors in record creation.
  • In collaboration with the Associate Directors of Compliance and of Systems, calculate the satisfactory progress of all aid applicants on an annual basis. Review outcomes for any errors.
  • Develop quality assurance reports using Cognos reporting tools for the Office of Financial Aid. Generate and distribute at the direction of the Associate Director of Systems.
  • Collaborate with the Office of Information Technology to review, test, and implement automated job processes in the Automic scheduling system.
  • Plan, test, and implement system upgrades for the Banner Financial Aid management system and the institutional use of federal software systems. Maintain documentation of new requirements, process flows, and institutional decisions concerning such upgrades.
  • Collaborate with the university constituents to troubleshoot system issues and identify causes and solutions; make recommendations to the Associate Director of Systems for next steps.
  • Other duties as assigned.

  • Minimum Qualifications

  • Experience working with databases, particularly those used to manage client or student records.
  • Prior use of end-user reporting tools such as Cognos.
  • Experience in non-profit organizations or institutions of higher education.
  • Understanding of relational databases, Oracle SQL querying, and writing reports.
  • Analytical skills to develop and modify business processes in order to maximize capabilities of technology in support of the university mission.
  • Interpersonal and communication skills to collaborate effectively with supervisor, colleagues, vendors, and external parties.
  • Adherence to strict ethical codes required of all financial aid administrators.
  • Self-motivated, quick learner, able to take direction and meet deadlines.
  • Preferred Qualifications

  • Experience with Banner Student Information System.
  • Oracle SQL certification.
  • Prior experience in a financial aid office, either managing loan records or counseling aid applicants.
  • Bachelor's degree or equivalent combination of education and experience.
