Job Description:
The Human Resources Specialist is the primary role responsible for maintaining
ADP, the employee information and payroll processing system. The HR Specialist
enters and audits information, provides technical support and troubleshooting,
manages permissions and access to the system and implements improvements, In
addition, this position may also undertake a variety of Human Resource
administrative support functions, including maintaining employee records,
supporting new and exiting employee processes, and acting as initial point of
contact for employee inquiries.
Responsibilities (Include but are not limited to)
Ensure timely and accurate processing of new hire, status change, and
termination information into the HR/Payroll system; provide appropriate
documentation of employment changes (e.g., transfers, salary changes,
etc.); run reports as required.
Maintain timely and accurate communication with Payroll and Benefits
regarding employee status and benefits changes.
Support payroll processes with timely processing of adjunct faculty
contracts, temporary agreements, and graduate assistant paperwork; manage
onboarding process for new assigned employee classifications.
Use functional and technical knowledge to provide employees with general
guidance and informal training regarding HR information system as needed.
Support the Associate Director, Provost's Office, and School
administrators to provide offered/accepted candidates with employment
letter, new hire materials, and other employment information; process
background checks and make recommendations based on results.
Maintain personnel files, whether electronic or paper, in an organized and
legally compliant manner.
Ensure timely processing of all employment verification requests.
Assist with updating and maintaining forms, policies and procedures;
creates process guides and other reference materials.
Perform regular audits of employee data; communicate with supervisors and
employees to gather missing information.
Develop expertise regarding employment laws and University employment
policies and classifications (e.g., exempt/non-exempt, salary ranges,
etc.); provide consultation to supervisors to ensure understanding of and
compliance with laws and policies.
Track HR budget expenses and process bills for payment
Support HR team with logistics of new employee on-boarding and orientation
and with employee training programs (online and in-person).
Identify and propose process improvements to increase timeliness and
effectiveness of Human Resource functions.
Provide back-up to other Human Resources functions as needed, and perform
other duties as assigned.
Requirements:
Education & Experience
Bachelor's degree preferred; high school completion plus equivalent Human
Resources experience and training may be substituted.
Experience with ADP strongly preferred.
Prior work experience in a related setting strongly preferred.
Other Qualifications
Outstanding organizational skills; ability to prioritize and handle
several tasks simultaneously while ensuring accuracy and thoroughness in
task/project accomplishment.
Ability to maintain confidential information with discretion.
Able to function independently while operating effectively within a team
environment
Excellent oral and written skills and ability to communicate comfortably
with candidates, colleagues, external constituents and students
Cultural competency to work with diverse employee and/or student
population
Possess solid general computer, math, and analysis skills, including
ability to work in a Windows environment. Proficiency with MS Office
Suite, Adobe, internet, and other programs as needed (e.g., mail merge,
data base management). Familiarity with ADP or other HR/Payroll software
a plus
Exhibits a high level of professionalism, leadership, creative problem
solving, diplomacy, negotiation and sales skills, and the ability to
manage complex projects with minimal supervision
Professional, courteous demeanor and appearance; ability to work
professionally with students, faculty, staff and administration and
represent the University professionally to the public
