Housing Assignments Coordinator – University Housing
Classification Title: Administrative Analyst/Specialist
Classification Salary Range: $4,170 - $7,545 per month
The anticipated hiring range for this position is $4,170 - $5,021 per month.
The final salary is dependent upon qualifications and experience.
About the Department/Position:
Under the general direction of the Associate Director of Housing Operations
and Administrative Services, the Assignments Coordinator is responsible for
administration of all aspects of the application and room assignment process
within University Housing. Responsibilities include contracting, room
assignments coordination, occupancy management, processing adjustments and
charges, billing, record keeping, reporting, communications with students and
campus partners, Chancellor's Office, and Housing staff. This position has the
primary responsibility for implementing processes to achieve full occupancy,
culminating in finalizing all room assignments for the academic year and
summer. The incumbent will develop and produce reports pertaining to housing
license agreements, occupancy, and other business operation needs.
•Must be able to work occasional evenings and weekends.
•Must be able to adjust working hours to meet demands of cyclical processes
and events.
•May require travel to attend training programs off-site for occasional
professional development.
Overview of Duties and Responsibilities:
Oversee the coordination and review of all housing applications and fees
for all incoming and returning students for the academic year, winter
break, and summer housing programs.
In collaboration with the AD of Housing Operations and the Residential
Life team, will determine assignment priorities as appropriate to ensure
adequate use and management of residential bed spaces and achieve full
occupancy.
Work with Housing Facilities and Residential Life staff on logistics for
fall, spring and summer opening and closing.
Maintain comprehensive knowledge of current laws and regulations including
university policies and procedures which affect University housing
administration.
Serve as the key contact for campus partners in the recruitment,
assignment and tracking of residents, such as International Student
Office, Athletics, Student disAbility Resource Center, and Toro Guardian
Scholars.
Minimum Qualifications:
Experience: Three (3) years of related experience required.
Education: Bachelor's degree and/or equivalent training and administrative
work experience involving study, analysis, and/or evaluation leading to
the development or improvement of administrative policies, procedures,
practices, or programs.
Knowledge, Skills, and Abilities:
Knowledge of or ability to quickly learn to use StarRez software.
Proficiency with Microsoft Office Suite, campus databases, and housing
management systems.
Ability to take initiative and independently plan, organize, coordinate,
and perform work in various situations where numerous and diverse demands
are involved.
Ability to make accurate projections using business mathematics and basic
statistical techniques.
Knowledge of administrative survey techniques, operations and systems
analysis, statistical and research methods, and the ability to interpret
and evaluate results to develop sound conclusions and recommend new or
revised policies.
Preferred Qualifications:
Demonstrated experience with StarRez assignments & occupancy management
software.
Graduation from a four-year college or university in public or business
administration or a job-related field.
Education or study in occupancy management or related field.
Two years of progressively responsible experience using a housing database
system.
Knowledge of university and housing policies and systems.
Ability to troubleshoot problems and respond to inquiries and requests
related to work area.
Ability to adapt to frequent changes in policies and procedures and
communicate information.
Ability to use and quickly learn new office support technology systems and
software packages.
Demonstrated thorough knowledge of the principles, problems, and methods
of public and business administration and operational and fiscal
management.
Ability to understand problems from a broad, interactive perspective and
discern applicable underlying principles to conceive of and develop
strategic solutions.
Ability to work with representatives from public and private entities and
handle potentially sensitive situations.
Demonstrated consultative skills in working with internal and external
constituent groups.
Ability to effectively present ideas and concepts in written or
presentation format and use consultative and facilitation skills to gain
consensus.
Familiarity with HTML and basic web design.
Experience and general knowledge of university infrastructure, policies,
and procedures.
Demonstrated experience working with a diverse population and ability to
work with students' special requests.
Demonstrated skills in an institutional/educational environment utilizing
a customer-oriented and service-centered approach.
Functional knowledge of and skills in standard office procedures and
practices as well as an ability to understand and operate in a variety of
organizational structures.
Thorough knowledge of English grammar, spelling, and punctuation and be
able to clearly communicate orally and in writing.
Strong organizational and coordination skills.
