GRANTS ADMINISTRATOR SPECIALIST-CAS - (T203312)
Description
To operate with a high degree of independence, under minimal supervision, this
position is responsible for sponsored research administration, financial
operations, policy enforcement, pre- and post-sponsored research submission
for CAS (College of Arts and Sciences) departments. May be responsible for
fiscal management of Center(s). To provide training, mentoring, and support
for special projects to department chairs and departmental administrators. To
assist with long range planning for CAS Research Office and department
research.
The CAS Office of Research Operations staff are responsible for pre-award
review of all externally funded research proposals prior to submission to the
Office of Sponsored Programs. Staff are also responsible for preparation of
portions of the proposals and post-award management. Staff serve as Department
Effort Officers for departments supported.
Key Duties and Responsibilities
Prepares and reviews sponsored research submissions for adherence to
established institutional policies and procedures, compliance with funding
opportunity announcements and sponsor guidelines, accuracy, and
completeness. Develops and reviews proposed budgets and budget
justifications; calculates faculty effort on sponsored projects;
calculates and verifies project indirect costs. Manages and facilitates
subcontract submissions. Prepares submissions in federal and state sponsor
online portals. Serves as point of contact on non-profit portals. Manages
research-related program activities such as Confidentiality Disclosure
Agreements (CDA), Data Use Agreements (DUA), Material Transfer
Agreement (MTA), Memoranda of Understanding, and industry-funded
contracts.
Manages post award activities for several CAS departments, including:
reconciles accounts on a monthly basis, resolving discrepancies;
communicates with faculty on any project-related issues; processes salary
reclassifications and funding source changes; prepares and reviews
quarterly/monthly invoices, communicates with sponsor on project invoicing
issues; processes grant-related payment requests, purchase order
requisitions, travel reimbursements and any other grant-related financial
transactions; prepares, submits, and processes re-budget requests; ensures
grant budgets are maintained and spent according to sponsor guidelines
while adhering to UAB policy. Serves as a resource for departmental staff
responsible for post award management and reconciliations, including
researching and resolving issues to ensure program objectives are
achieved. Provides direction to investigators regarding submission of
annual reports and final report closeouts. Provides input and guidance to
investigators regarding Uniform Guidance Compliance and ensures awards are
managed within program guidelines.
Directs financial operations for the Center for Community Outreach and
Development (CORD) which includes multiple externally funded programs
within the Center (Alabama Math, Science, and Technology Initiative
(AMSTI), Alabama Science in Motion (ASIM), Science Fair). Analyzes
data to provide input in the future objectives for the Center. Aids with
grant writing and identifying research/education funding for the programs.
Ensures revenue from cash deposits and Touchnet payments are credited to
the appropriate account. Reconciles accounts on a monthly basis, resolving
discrepancies, processes HR documents as needed and communicates with
senior management on any issues.
Works in conjunction with Director of CAS Research Operations to develop
initiatives and ideas to further grow and develop the CAS Research Office.
Assists with new objectives that are established. Cultivates relationships
with CAS faculty and staff and encourages collaborations with UAB faculty
outside of CAS, the Office of Sponsored Programs and external
institutions, foundations, and community partners.
Provides technical training and assistance to faculty and administrators
within CAS units. Ensures faculty and staff are aware of regulatory and
compliance policies both within UAB and outside agencies. This includes
providing direction and explanation of effort reporting policies and
procedures and other support documentation for external sponsors. Assists
with new faculty onboarding and training.
Serves as liaison for CAS on research-focused institutional committees.
Provides campus-wide networking and collaboration with areas outside of
CAS. Provides opportunities to utilize these relationships to serve in
capacity of grants administration, policy interpretation and development
for the Research Office.
Serves as backup for the Director to ensure seamless processing of all
Research Operations including compiling reports for Executive Director of
Administrative Operations, Associate Dean of Research, and Dean.
Performs other duties as assigned.
Annual Salary Range: $52,555.00 - $85,400.00
This is a remote/hybrid eligible position.
Qualifications
Bachelor's degree in a related field and five (5) years of related
experience required. Work experience may NOT substitute for education
requirement. The ideal candidate will have an extensive background in pre-
and/or post award management. Knowledge of Uniform Guidance is also highly
preferred.
