Responsibilities
Administrative & Academic Support
Serve as the College's designated liaison to the FL DOE State Course
Numbering System; submit new grad course requests to the SCNS for approval
and maintain the SCNS database of NCF grad courses.
Serve as the College's liaison to the Academic Common Market
Serve as first point of contact for the program
Work with the grad faculty to create the graduate course schedule for each
semester, and submit it to the Registrar's Office. Submit room
reservations for grad courses.
Submit textbook orders for graduate-level courses
Maintain and update the graduate catalog as needed, submit proposed
changes to Provost
Provide data regarding faculty appointments, grad student enrollment, etc.
to the Office of Institutional Research and the Provost's Office, as
requested
With the graduate program director, schedule and attend bi-monthly
graduate faculty meetings
Prior to each semester, send the Registrar's Office the grad course
registration information (lists of graduate students and which courses
they will be taking). Graduate students do not register themselves for
courses.
Work with newly enrolled grad students to ensure they submit all necessary
paperwork for enrollment (health history, residency, etc.)
Provide advising to graduate students
Coordinate with 3+2 program in Data Science for supporting undergraduate
students enrolling in the master's program in their 3rd year.
Maintain the graduate program alumni database, and update as necessary
• If a grad student is placed on academic probation for two consecutive
semesters, call a meeting of the Graduate Student Academic Status
Committee to evaluate the student's record and determine a path forward,
then communicate that decision to the student, and the Registrar's Office.
Events
Organize and execute new graduate student orientation each August.
Assist the Director in scheduling seminars. Create notices for the
seminars, and room reservations for in-person seminars, Zoom meetings for
virtual.
Organize and execute other events, ex. grad program workshops, program
mixers, alumni reunions
Fiscal Liaison
Staff faculty searches; work with the search committee to schedule virtual
and in-person interviews; arrange candidates' travel to campus; notice
meetings, etc.
Process graduate teaching assistants and research assistants; submit EAFs,
schedule their onboarding appts with HR, and approve biweekly timesheets
Write offer letters (and obtain signatures) for graduate adjuncts and
instructors
For new department hires: submit key requests and phone setup request to
IT, order computer and office supplies, etc.
Manage graduate program director's PCard; order supplies for the program
as needed; use Banner to maintain budget records, etc.
