Our Future Students team is seeking a highly organised coordinator to provide coordination and administrative support for the University's global partnerships and protocol operations, including delegation visits and agreements.

Reporting to the Director, Global Partnerships and Protocol, you will:

  • Provide coordination and administrative support for the implementation and operations of the University's global partnerships and protocol, including contributing to the development of related policies and procedures.
  • Coordinate and facilitate the process to establish, execute, review and renew Memorandums of Understanding (MOUs) and other agreements with global partners, ensuring compliance with the University's policies and procedures.
  • Update and maintain the global partnership database, international partners' information, and documents and templates relating to the University's Memoranda of Understanding (MOU) and other institutional agreements/collaborations.
  • Plan, coordinate and support the end-to-end delivery of delegation visits from partner institutions and government agencies.
  • Gather, collate and analyse information to prepare briefs and reports on delegation visits, and assist with reporting to Executives, as well as generate regular and ad hoc reports.
  • Coordinate and distribute information on agreements and delegation requests to stakeholders, coordinate the review and sign-off of agreements and delegation visits, and maintain relevant records in the internal register.
  • Receive and respond to enquiries, as well as resolve issues, from international partners on delegations and agreements, escalating as appropriate.
  • Continuously improve processes and procedures to enhance data quality and reliability of relevant databases/systems, documents and templates.
  • In consultation with the manager, provide advice to staff and stakeholders on cultural etiquette, nuances, and diplomatic protocols.
  • Build and maintain effective and collaborative relationships with internal and external stakeholders.
  • About You

    You are a highly detail-oriented professional with strong organisational and administrative skills, and adept at managing databases, templates, and documents. You have excellent interpersonal and communications (written and verbal) communication skills with the ability to engage and collaborate with stakeholders, respond and resolve enquiries, and preparation of reports and analysis.

    High cross-cultural awareness and communications are essential. Fluency in a major Australian trade partner's language highly desirable.

  • Tertiary qualification and/or equivalent experience in business, administration or related discipline.
  • Demonstrated experience in the coordination and administration of international agreements and delegation visits.

  • Working with and managing confidential and sensitive information
