The Office of Finance is responsible for managing, forecasting, and analyzing VIMS /W&M School of Marine Science multi-year, multi-funding source operational and capital resources totaling in excess of $200M, of which $60M is managed annually. This includes the establishment and communication of policies and procedures necessary to ensure the proper and efficient use of those resources by providing expert, high-impact, team-oriented service that provides appropriate guidance with precision and accuracy in a timely fashion with a courteous and professional attitude. Within the Office of Finance, VIMS Research and Statistics is responsible for the creation, development, collection, organization, interpretation, distribution and evaluation of data, information and reports that are useful for direct and indirect financial and other analysis. Additionally, this office is responsible for leadership, implementation, and smooth execution of new systems tied to any system-level activity as well as management of the tracking and reporting of space usage across campus.

Position Summary

The Financial Assistant will provide basic level bookkeeping and accounting functions and report directly to the VIMS Research Analytics Manager. This will include preparing, sending and tracking invoicing for the Institutes external services and completing the close-out process for all ended grants from the Office of Sponsored Programs. This position will also serve as the point of contact for several Touchnet stores and other basic accounting support duties as needed.

Required Qualifications

  • High School diploma or equivalent
  • General office exposure of 6 months+
  • Demonstrated proficiency with a variety of software applications and databases including Microsoft Office 365 products (word, excel, and access,)
  • Excellent communication and interpersonal skills with a strong customer service orientation and the ability to work effectively with a diverse University community, exercising diplomacy and good judgment in all interactions.
  • Preferred Qualifications

  • Demonstrated experience with basic bookkeeping/accounting procedures
  • Strong attention to detail, with the ability to perform accurate mathematical calculations.
  • Demonstrated proficiency with a variety of software applications and databases including Microsoft Office 365 products (word, excel, and access,)
  • Proficiency in a variety of computer applications including payment systems, web-based applications and automated accounting programs/systems with the ability to learn quickly new applications, apply and maintain acquired skills.
  • Working knowledge of TouchNet system is desirable.

    Conditions of Employment

  • This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisor.
  • All hourly employees are subject to the limitations of the Virginia Manpower Control Program and total hours worked may not exceed, on average, 29 hours per week, over the course of a twelve month period beginning May 1 each year.
