The Financial Analyst will support the Division of Enrollment Management (EM) in due diligence, financial tracking, cost analysis, management reporting, and develop process improvement recommendations based on an understanding of UTA best practices. This role will report to and work closely with the EM Director of Fiscal Administration and Planning to ensure an in- depth understanding of all EM sources and uses of funds, budget versus actuals variance analysis and historical trend analysis for extrapolation. Work closely with EM staff members to inform and coach on MARS, UTShare, and EPM.

Essential Duties and Responsibilities

Annual Budget, Variance Analysis, & Management Reporting

  • Enter fiscal year data for all EM departments and their cost centers in EPM, generate and distribute EPM reports once fiscal year budget is finalized.
  • Track all new sources and uses of funds through annual budget funding process and report on meaningful variance analysis with oversight by Director and for EMLT.
  • Teach EM Administrative Assistant IIs regarding their current fiscal year department budgets and how to track and compare budget versus actual's throughout each fiscal year:

  • Earned revenue, salaries, fringe, student wages, scholarships, M&O, Travel

  • Develop process to inform Director for discussion with EMLT when additional fiscal year funds are needed.
  • Division-wide Financial Management

    Take initiative and perform with minimal supervision:

  • Create and maintain EM financial management oversight to support new EM initiatives and track funding needs.
  • Oversee all EM monthly financial statement reconciliations in SAHARA, ProCard Logs, track successful review and approvals, and annual certifications of all EM departments.

  • Ensure all are current and ready for audit and provide monthly update to EMLT

  • Train Administrative Assistant IIs to reconcile and save all source supporting documents in readily accessible SharePoint drive.
  • Lead EM fiscal year-end close activities and forecast year-end balances for next fiscal year's carry forward funding by department.
  • Conduct cost studies and recommend alternatives / solutions to various accounting / administrative issues by department.
  • Research, collaborate across UTA, and implement EM administrative / budget process improvements, draft new procedures and develop record-keeping to ensure knowledge transfer across EM (including onboarding) through documentation and process mapping.
  • Prepare management financial reports and present information to managers and directors in the respective department.
  • Division of Enrollment Management-wide Projects

  • Track and report monthly on major EM special projects and key initiatives approved by the President, Provost, and CFO with oversight by Director and for EMLT.
  • With minimal to no supervision and make informed decisions to track and report on all EM active and potential contracts greater than $10,0000 to ensure no overlap in services and lapsed expiration dates.
  • Be UTA Procurement and Disbursements requirements SME (Subject Matter Expert) and stay up to date on accessibility certification and other requirements.
  • Manage EM annual equipment inventory process; repurpose outdated assets. Track and report on annual technology purchases, current outstanding needs, and cost to invest.
  • Office of VP for Enrollment Management

    Take initiative, perform with minimal to no supervision and make informed decisions:

  • Oversee and reconcile monthly financial statements in SAHARA, track successful reviews and approvals, and annual certifications with support from the Administrative Assistant II. Train EM Admins to save all supporting source documents in readily accessible SharePoint drive
  • Submit, track, and report all budget transfers and cost reversals in UTShare when initiated by Office of VP for EM.
  • Staff and Student Employment

  • Forecast and report on fiscal year salary and fringe cost avoidance by department due to vacant budgeted positions to fund new EM initiatives until upcoming annual budget planning exercise.
  • Calculate cost of turnover, including supplemental pay requests, onboarding, and other associated costs due to EM position vacancies.
  • Update position percent distribution in EM State (E&G) cost centers in response to turnover to ensure all funds available are consumed by August 31.
  • Work with EM Administrative Assistant IIs to minimize number of split- funded positions by department. Train Admins to forecast and report on student wages.
  • Coordinate, design, and implement EM Student Workers' policy and procedures to pay students based on their tenure with EM, skill level of work performed and performance.

    Required Qualifications

  • Bachelor's Degree and five (5) years of accounting experience.
  • Microsoft Office suite applications intermediates skills, excellent oral and written communication skills, superior interpersonal skills to develop and influence teams, and customer service orientation.
  • Ability to work independently and identify needs and opportunities for process improvement.
  • Preferred Qualifications

  • Eight (8) years of experience in administration, business, or financial management in higher education.
  • Experience with UTShare, Oracle Cloud budgeting and financial applications, or equivalent systems.
  • Advanced Excel skills
