  • Expressions of interest are now open for a secondment/fixed term contract opportunity within the Adelaide University Integration Management Office (IMO) for an Executive Support Officer (HEO 6).

    About the role

    As the Executive Support Officer (HEO 6) you will be responsible for the executive management of the administrative functions for the IMO Directors, as well as providing support to the Executive Administrative team as required. This includes diary management, preparation of various correspondence, coordination of IMO events and meetings, records management, health, safety and welfare coordination and support for facilities management.

    As the Executive Support Officer, you will play a crucial role in fostering effective communications, supporting key stakeholders, and contributing to the overall success and outcomes of the IMO.

    In this role, you will be required to develop and maintain extensive networks with senior executive staff across The University of Adelaide and the University of South Australia as well as the Transition Partner Deloitte.

    Core Responsibilities

  • Provide confidential secretarial and administrative support to the Directors, IMO, ensuring the overall presentation of work and maintaining a high and consistent standard, including;
  • Travel and diary management;
  • Assist in the preparation and circulation of correspondence and agendas;
  • Arrange venues and associated administrative requirements; and
  • Assist in the formulation and distribution of minutes and other relevant documentation including following up items for action.
  • Undertake a wide range of IMO specific administration processes including financial requisitions, credit card acquittals and records management.
  • Essential Skills and Experience

  • Tertiary qualification in a relevant discipline or equivalent level of expertise gained from a combination of administrative experience, training or professional accreditation.
  • Demonstrated high level of discretion and people skills and understanding of the requirement to maintain confidentiality.
  • Experience as an Executive Assistant, including the ability to work under pressure, make judgements about competing priorities, initiate appropriate independent action as necessary, give attention to details and be flexible.
  • Proven highly developed interpersonal skills when working with a diverse range of people from a range of cultural backgrounds and levels within and outside of the university.
