Duties performed are of a complex and varied clerical/technical nature, usually supporting a major function, department, or unit of the University. This is the most senior level clerical job handling substantial clerical/administrative details and duties. It incorporates elements of other levels with a majority of effort associated with more complex clerical technical support services or programs. The level of independence at this level has a high degree of autonomy/responsibility for complex duties that may be broad and varied or narrow but focused.

Required Qualifications

High school diploma or GED. Four years of qualifying experience or a combination of education and experience that equates to four years. Experience with Microsoft Word. Customer service experience. Spreadsheet and/or database experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job.

Preferred Qualifications

Experience coordinating the work of others. Experience with SAP. Ability to design/maintain web pages. Experience working in higher education.

Duties & Responsibilities

Manages incoming faculty personnel transaction forms and questions. Records management for employee personnel files and other office records. Responsible for generating and distributing faculty, graduate assistants and adjunct faculty appointment letters and new hire paperwork. Responsible for review and salary calculations of employee personnel transactions for assigned colleges and academic units. Responsible for data entry for assigned colleges in the HRIS system of all faculty and graduate assistant personnel transactions activity. Responsible for processing faculty summer payroll for assigned colleges, including calculating salary and computing total FTE and dollars. Assists with the Employment Eligibility Verification process (I-9) by verifying correct documents that establish identity and employment eligibility. Run monthly I-9 report to identify and contact employees with expiring I-9 documents and ensure compliance with work authorization records. Shares responsibility to coordinate the annual Employee Retirement and Service Award Reception for retirees and employees celebrating twenty years and greater of service. Processes the retirement resolutions for faculty and staff employees. Coordinates with departments and staff in the President's office to ensure each resolution statement is appropriate. Prepares framed retirement resolutions for President to present to retirees. Submission of faculty personnel and emeritus decisions needing Board of Trustees approval. Responsible for assisting the Director of Faculty Employment & Compensation with the coordination of the annual New Faculty Orientation, and other special projects, as needed. Assists with graduate assistants inquiries regarding tuition and fee waivers and billing statements as needed. Processes employment verification requests from external agencies. Responsible for answering questions and assisting faculty, graduate assistants, and departmental staff. Maintains federal Public Labor Condition Application (LCA) files for faculty. Posts LCA's as required by Department of Homeland Security. Prepares office purchase requisitions and invoice vouchers. Orders and maintains office supplies. Reconciles procurement card statements. Handles office mail. Provides customer service. Assists with scheduling meetings and calendaring. Assists with ad hoc data entry and special projects. May assist with design/maintenance of department web pages. Performs other duties as assigned.
