8:00 am – 5:00 pm; Monday – Friday with occasional evening and weekend hours required, as necessary.

Primary Purpose of Position

To provide administrative support to the Diversity and Inclusion Office and the CDO. To provide a variety of administrative, secretarial, and office support duties. Positions require knowledge of the office or work unit policies and procedures in order to communicate information involving programs, functions, and services. Duties performed may include preparation of documents and reports, the use of office technology, compiling records, organizing and maintaining files, posting information, greeting/referring/assisting visitors/clients/staff/others, mail distribution, and photocopying. The completion of work often involves a public contact role to obtain, clarify, or provide information regarding activities of the work unit or program.

Minimum Education/Experience

Required Minimum Qualifications:

Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience.

University Preferred Qualifications:

Graduation from high school and demonstrated knowledge, skills and abilities gained through four years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and two years of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field and one year of progressively responsible administrative/office management experience; or an equivalent combination of training and experience.

Essential Job Duties

  • Provide administrative support to the CDO and the Office of Diversity & Inclusion.
  • This position requires knowledge of the office or work unit policies and procedures in order to:

  • Communicates information involving programs, functions, and services.
  • Prepares documents and reports, budget monitoring and processing of expenditures.
  • Use of office technology, compiling records, organizing and maintaining files and posting information.
  • Greeting/referring/assisting visitors/clients/staff/others, mail distribution, and photocopying.
  • Completion of work often involves a public contact role to obtain, clarify, or provide information regarding activities of the work unit or program.
  • Other Work Responsibilities

  • May also work on tracking and reconciling awards and expenditures from an internal grant.
  • Departmental Preferred Experience, Skills, Training/Education

  • Graduation from high school and three years of progressively responsible administrative/office management experience; or graduation of a two-year secretarial science or business administration program and one year of experience as described above; or graduation from a four-year college or university, preferably with major emphasis on Business administration or a related field; or an equivalent combination of training and experience.
  • Ability to work in a team and a collaborative environment.

  • Exceptional time management and organizational skills, ability to meet deadlines, and schedule coordination.
  • Ability to demonstrate a high level of effective team management with a positive attitude, professional demeanor.

  • Willingness to take the initiative toward problem-solving and improving communication efficiency.
  • Exceptional track record of personnel records management (hiring, reappointment, evaluations).
  • Experience in the Google environment (Gmail, drive, sheets, etc.).
