Position Overview

Primary Function of Organizational Unit

Each constituent institution of the University of North Carolina System is headed by a chancellor who is the chief executive officer for their institution. The chancellor is responsible for carrying out the policies of the UNC System's Board of Governors and the NCCU Board of Trustees. The chancellor has wide discretion related to decision-making on administrative, personnel, academic, and budget matters. The Office of the Chancellor provides administrative, organizational, strategic, and compliance services to advance the university's strategic priorities.

Primary Purpose of Position

The primary purpose of this position is to provide high level day to day administrative and confidential support for the functions of the executive office. The Executive Assistant will be responsible for assisting the Chief of Staff with Special Events for the Office of the Chancellor and perform administrative assistant duties of a highly responsible, confidential, and sensitive nature. The Executive Assistant organizes, anticipates, initiates, plans, administers, and coordinates events for the Office of the Chancellor. This position will report to the Chief of Staff.

Required Knowledge, Skills, and Abilities

Interpersonal Skills: The employee must have excellent analytical, interpretive and listening skills. Strong communication skills (verbal and written) are a must for interaction with others. The employee must be able to work independently with little or no supervision in order to complete all tasks and duties within prescribed deadlines, whether requested outside the office or self-imposed. Knowledge-Program: This position will require an understanding and knowledge of the university and the Office of the Chancellor. Problem Solving: This position requires the ability to plan, organize, and follow through with minimum direction. A detail-orientated, conscientious and self-motivated person with the ability to respond to reporting needs with little or no notification. Planning and Organizing: This employee must possess good project management skills, time management, and computer skills. Communication-Written: This position will deal with a variety of issues and must have the ability to clearly and concisely convey information (electronically and verbally) to individuals and/or groups to ensure they understand the message. Information/Records Administration: This position will require an understanding and knowledge of the university, the communications and public affairs office. This position will be a resource for inquiries. This position will respond to a variety of issues and must be able to analyze and respond to requests. This position must have the ability to interpret policies and procedures. Budgeting: This position will reconcile the expenditures of the Chief of Staff. Flexibility: This employee must demonstrate flexibility to work weekends and extended hours when necessary. Must demonstrate flexibility for limited travel in-state and out-of-state when necessary.

Minimum Education/Experience

High School diploma or equivalency and three years of progressively responsible administrative/office management experience; or graduation with an associate's degree in Secretarial Science, Business Administration, or a related discipline and one year of progressively responsible administrative/office management experience; or bachelor's degree, preferably in Business Administration or a related discipline; or equivalent combination of training and experience..All degrees must be received from appropriately accredited institutions.
