We are seeking an experienced Executive Assistant to support the Deputy Vice- Chancellor (Academic). This busy role provides confidential and high-level secretarial and administrative support services, across a range of complex issues in the Academic Division.
You will be working as part of the Shared Services team, flexibly providing administrative services across the University. A strong customer service orientation and commitment to continuous improvement initiatives is critical to your success.
You will work as part of a small team of Executive Assistants based in the Clocktower, supporting each other, and contributing to the culture within the area.
Key responsibilities in this role include: • Being the first point of contact for the Deputy Vice-Chancellor (Academic). • Anticipating needs, analysing, and assessing requests in order to screen and prioritise urgent matters. • Troubleshooting and initiating actions to facilitate resolutions and problem solving. • Drafting, preparing, coordinating, and reviewing information, high-level communication, and documents on a range of matters. • High-level diary management, correspondence, meeting administration and organising travel arrangements.

• Proven experience working in an administrative/secretarial role in a busy or complex environment. • Experience working for a senior manager/executive in an environment where confidentiality, judgement and discretion are paramount would be advantageous. • A passion for delivering exceptional service to customers. • An ongoing commitment to positive outcomes for our students, staff, and visitors. • Strong Microsoft Office skills. • Strong meeting administration skills. This role is responsible for a large number of committees. • The ability to proactively and supportively work within a team to create a positive culture. • Strong organisational skills and the ability to multitask.
