Job Title Executive Assistant to Vice President for AdvancementPosition Summary
This position provides a broad range of administrative support to the Vice President for Advancement and Advancement Division.
Essential Duties and Responsibilities
Manage calendar and schedule internal and external meetings for Vice President.
Arrange travel plans/ itineraries, catering, and meeting setups, as required.
Monitor and maintain Advancement division budgets and other University budgets as directed, reallocating budget funds, entering purchase allocations and transferring expenses as required.
Compose and/or edit correspondence, printed collateral, and PowerPoint presentations.
Initiate and manage purchase processes for all budgets maintained by Advancement division.
Provide administrative support to Board of Trustees Advancement Committee, President's Advisory Board and Advancement Management Team. Provide administrative support to plan and organize the Fort Worth Business Hall of Fame.
Timely entry of contact reports and proposals in donor database and generate monthly reports.
Initiate/facilitate set ups with all University departments for Advancement new hires.
Other duties and special projects as assigned by Vice President for Advancement.
Education, Certifications and/or Licenses
Bachelor's degree from an accredited college or university highly preferred.
Experience
Minimum of three years' experience providing multi-level administrative support to an executive or C-level officer.
Knowledge, Skills & Abilities
• High proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Publisher • Basic accounting and budget analysis skills • Familiarity with donor or contact management databases • Excellent oral and written communication skills, including proofreading and editing skills • Strong organizational skills; detail oriented • Very strong interpersonal skills that demonstrate the ability to deal effectively, fairly, and hospitably with a broad range of constituencies both within and outside the University community • Ability to prioritize daily workload while meeting deadlines for multiple tasks • Ability to work under pressure in a dynamic environment • Ability to work independently with minimal supervision and collaboratively within a team environment • Ability to maintain utmost discretion and confidentiality in all situations • Ability to think critically and problem solve • Emotional maturity and adaptability
