Job Summary

Supports the six (6) College of Business (CoB) Deans, works independently performing a wide range of complex and confidential administrative, clerical support duties and coordinates/supervises internal and external functions. Requires excellent communication and interpersonal skills and ability to provide information and service to a wide range of internal and external contacts. Includes responsibility for executive office management as appropriate.

Essential Duties and Responsibilities

  • Develops, implements, and administers college office systems, operations, and procedures.
  • Interprets and communicates policies and processes.
  • Provides wide range of support to include: composing and editing letters, memoranda, and reports.
  • Reviews copy for the annual COB magazine.
  • Drafts copy for publication or reports.
  • Uses multiple technical applications including database management, spreadsheets, graphics and presentation software, electronic calendar, email, and other technical/scientific applications.

  • Plans, organizes, coordinates, and supervises the execution of CoB internal and external events such as:

  • Business Week, Dean's Leadership Circle events, Macro-Economic Events, Faculty luncheons, alumni and donor receptions, Staff and Faculty Meetings etc.
  • Coordinates COB Commencement activities.

  • Responsible for creation and dissemination of monthly communication for the College of Business Advisory Board.

  • Coordinates, reviews, assesses, routes, answers and monitors follow up action on correspondence and phone calls.
  • Gathers and analyzes information required for administrative reporting.

  • Serves as principal administrative contact, liaison, and source of information with all CoB University constituents (faculty, staff, and students) and external contacts for six (6) deans.

  • Manages complex calendars, arranges for meetings, appointments, and travel arrangements.

  • Coordinates Deans' events including conferences and seminars.

  • Other duties as assigned.

  • Required Qualifications

  • Bachelor's Degree.
  • Three (3) years of work experience in a managerial/ Supervisory position.
  • Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools.
  • Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
  • Experience managing varied requirements with multiple deadlines required.
  • Experience planning and executing large events.
  • Ability to work across teams and with a variety of projects and constituencies.
  • Excellent oral and written communication skills.
  • Expertise in Microsoft Office Suite software.
  • Preferred Qualifications

  • Master's degree.
  • Five (5+) plus years related experience with proven office administration and customer service skills required.
