  • About the Role

    The Executive Assistant provides confidential, high-level executive and operational support primarily to the Executive Dean and other executive team members. Contributing to the effective operation of the Academic Unit, the position is a primary point of contact for the Academic Unit's internal and external stakeholders and is critical in supporting the constructive and efficient operation of the executive team.

    Not only is this role responsible for administrative support tasks such as diary management, but also includes, but not limited to leading projects, writing reports, event management and contributing to the Unit's communications strategy

    As a key professional staff member supporting the Academic Unit, you will work closely with the relevant Executive Dean, Dean of Research, Deans of Programs, and General Manager to contribute to the effective management of the Academic Unit and make a positive contribution to the Unit, in the delivery of world class teaching, research and education services.

    Core Responsibilities

  • Provide dedicated executive administrative support to the Executive Dean, and other executive team members, including complex diary and email management
  • Liaise with internal and external stakeholders to negotiate appointments and timelines that maximise the executive team's time
  • Coordinate events, workshops and conferences, as well as visitor itineraries and hospitality
  • Lead and/or contribute to a wide range of projects as required by the executive team
  • Implement systems and practices that facilitate high level forward planning
  • Essential Skills and Experience

  • Significant experience in providing executive level support (including complex diary management) to senior managers
  • Ability to proactively respond to challenges, determine competing priorities, exercise independent judgement, work with documents of a sensitive nature, and an ability to maintain confidentiality of the highest standard
  • Superior interpersonal/ communication skills and experience building relationships and demonstrating the highest level of customer service with a diverse range of people and cultures at various levels
  • Demonstrated ability to produce quality correspondence with high level attention to detail and the ability to provide editing and presentation assistance on a broad range of documentation
