Job Title Events Specialist Job Description

The primary purpose of the Events Specialist role is to professionally and proficiently manage all administrative, promotional, operational, and evaluative aspects of events sponsored by the Hesburgh Libraries and select events held within Hesburgh Library that may be sponsored by other University units. This includes communicating well and effectively with a broad range of stakeholders, including customers, vendors, and venues; coordinating public events such as conferences, public lectures, workshops, and panels; coordinating, internal events such as Advisory Council meetings, National Library Workers Day and other gatherings of library faculty and staff, and other campus events.

Duties include:

Event Planning, Management, and Execution On behalf of the Office of the Edward H. Arnold Dean, Hesburgh Libraries and University of Notre Dame Press:

  • The Events Specialist plans, manages, leads, executes, and evaluates the success of all aspects of campus, national, and international events of varying size and scale that are sponsored by the Hesburgh Libraries.
  • The Events Specialist also plans, manages, leads, executes, and evaluates the success of select events held within the Hesburgh Library facility or other Libraries' controlled properties that may be sponsored by other University units.
  • The role independently plans, coordinates logistics, and lead the execution as necessary on behalf of the Dean's Office, at all time ensuring excellence, continuity, contingency planning, and fiscal compliance and prudence.
  • Annual Hesburgh Libraries' events will include, but are not limited to, Advisory Council meetings, Dissertation and Thesis Camps, GIS Day, Hackathon, Grand Openings of newly renovated spaces (like the Lou and Beth Holtz Family Grand Reading Room), collaborations with Shamrock Series events, National Library Workers Day events, symposia and conferences, and new hire onboarding.
  • The Events Specialist will coordinate or manage space, audio-visual, information technology, food and drink, and all contractual and vendor relationships associated with these events.
  • The Events Specialist will attend these events to ensure they are executed according to the developed plan and will troubleshoot as necessary to ensure a successful event.
  • Work in this category will require coordination with other campus stakeholders, including the University's Office of the President, Office of the Provost, and University Enterprises & Events.
  • The Events Specialist will will have the authority to resolve problems independently, always remaining in fiscal, political, and strategic alignment with the Hesburgh Libraries Executive Team (HLET).
  • Event evaluation and, documentation, follow-up. The Events Specialist will work closely with the Advisor to the Dean to develop a full calendar of events and logistics that accompany each event; they will be responsible for evaluating each event with other library collaborators in order to assess success both quantitatively and qualitatively. This will involve outreach to collaborators and participants. The Events Specialist is expected to develop standard operating procedures for each event to ensure excellence and continuity. They will also ensure full budgetary compliance.

  • Minimum Qualifications

    Bachelor's degree 3 to 4 years experience
