Position Summary

The Events Assistant supports private and public event operations at James Monroe's Highland. Events are an important part of Highland's mission, allowing for community engagement and revenue generation.

Specific responsibilities include:

  • Answering event related phone and email inquiries
  • Scheduling and delivering private event venue tours
  • Maintaining a database of private events
  • Processing private event rental payments
  • Maintaining physical and digital files
  • Facilitating private events
  • Supporting public events and programs
  • Providing additional office assistance as needed
  • Position located in Charlottesville, Virginia
  • Required Qualifications

    EDUCATION: High school degree or equivalent.

    COMPETENCIES:

  • Excellent oral and written communication skills, with a strong customer service orientation, and the ability to interact effectively with internal and external constituencies while exercising good judgment and using diplomacy in all interactions
  • Knowledge of general office practices and equipment (Phone systems, computers, fax, scanner and copier, etc.), with the ability to perform administrative tasks
  • Working knowledge of Microsoft Office Suite (particularly Word, Excel, and Outlook), with the ability to draft or compile data and maintain a database
  • EXPERIENCE:

  • Experience in a customer service/office support position
  • Experience in using Microsoft Word, Excel, and Outlook.
  • Preferred Qualifications

    EDUCATION:

  • Successful completion of an Office Administrative training or certificate program is desirable
  • An Associate degree in Business or other related field is a plus
  • EXPERIENCE:

  • Previous experience facilitating events is a plus

  • All hourly employees are subject to the limitations of the Virginia Manpower Control Program and total hours worked may not exceed, on average, 29 hours per week, over the course of a twelve month period beginning May 1 each year.
  • This is a non-exempt position, eligible to receive over-time in accordance with the Fair Labor Standards Act.
  • This position requires a flexible work schedule, to include working weekends.
