Position Summary Information
General Description/Position Purpose
Provide prospective and current students and parents' information about aid programs, application procedures, assisting with questions on FAFSA as well as FAFSA completion, deadlines, and other aid-related information as needed. This mandates a complete understanding of complex Federal and State regulations and requires the ability to use independent judgement. Act as Liaison with Office of Admissions, Student Accounts, Registrar, Grant Accounting, Dean's/Advisors, Housing and other on campus offices. Utilize COD, PHEAA, FAA Access, ELM Select systems, NSLDS, Banner, BDMS, App. Extender, TD Client and Ed Connect.
Responsible for scanning, indexing, redacting (Social Security numbers and Date of Birth) of all office documents and file management in conjunction with and under the guidance of the Associate Director responsible for the Federal Verification Program utilizing Banner, BDMS and App. Extender. Responsible for work-study students appropriately processing all incoming documents and their distribution. Responsible for receiving and distributing faxes.
Serves as Office Timekeeper for staff and work-study students. Responsible for entering compensatory or over-time earned for staff into the PASSHE payroll system (SAP). Responsible for approving work-study hours worked in a timely fashion after student approved in E-Time. Occasional contact with Payroll Manager.
Responsible for Financial Aid Office budget in SAP. This includes moving funds, coordinating funds for travel, ordering office supplies, working with vendors to request estimates for office equipment, ordering and coordinating the delivery of office equipment, and requesting equipment service calls when needed. Responsible to track and review budget expenses. Provides Director regular budget updates. Balances monthly P-Card report. Updates memberships in various organizations and renews annual subscriptions, such as PASFAA, NASFAA, and The Chronicle of Higher Education. Assists in registering staff for conferences such as PABUG, PASFAA, Ellucian Live, and the Federal Student Aid Conference.
Responsible for the processing of Financial Aid Office travel expenses including knowledge of PASSHE Travel policies and regulations. Create funds reservations for office travel in SAP. Completion of travel expense vouchers including the calculation of allowable per diem rates using proper PASSHE regulations. Processing timely payment for events requiring registration. Works in conjunction with Accounts Payable.
Responsible for the coordination of office phone system, office work orders, asset inventory, and ordering all publications.
Responsible for the return of office e-mails from [email protected] within an appropriate timeframe. Coordinate the opening of all mail received in the office. Ensure student responses are accurate and timely.
Assists in the FAO work-study job posting process in Ship Career Connection. Review applications and resumes and e-mail notifications of hiring decision. Ensure completion of hiring packet and that student attend new hire workshop session or meet with Student Payroll Coordinator. Runs CIS script process to maintain work-study access to Banner and locks or unlocks individual work- study access as necessary.
Train and supervise the Enrollment Services Representative 1 work-study students.
Coordinate financial aid information for campus events.
Coordinate the dissemination of information to students via the electronic information boards and dining halls multiple times a year. Review and update the Financial Aid bulletin board with the most current information.
Responsible to maintain accurate and complete staff meeting minutes.
Coordinate Address Verification, Skip Trace, Sibling Enrollment, HUD, Enrollment Verification, Praxis and GRE Waivers, and property owner letters.
Represent the University and the Financial Aid Office at on and off campus events.
Other duties as assigned by the Director.
MINIMUM EXPERIENCE AND TRAINING: Six months as a Clerk Typist; OR completion of high school business curriculum which included at least one typing course; OR any combination of equivalent experience and training
