The mission of the Division of Student & Academic Affairs is to create solutions for a healthier community by fostering student success. There are 10 functional units within the Division of Student & Academic Affairs: Center for Student Life, Career Readiness Center, Center for Academic Performance, Office of Care and Civility, Registrar, Financial Aid, Testing and Evaluation Services, International Services, Office of Disability Access, and Student Assistance Resource Center.

Position Overview

The Division of Student & Academic Affairs at the University of North Texas Health Science Center at Fort Worth is seeking to hire an Enrollment Services Assistant to join our Records & Enrollment team. This front line staff member will interact with students and parents to assist with providing courteous, accurate and timely information to requests or inquiries made in person, via email, phone and/or mail. The Assistant must handle confidential information with tact, discretion and in compliance with FERPA regulations. Proficiency with Microsoft Office Excel and Word is required.

Minimum Qualifications

Bachelor's degree; or equivalent combination of education and experience.

Knowledge, Skills and Abilities Preferred Qualifications

The preferred candidate will possess the following additional qualifications:

2-3 years of related work experience in university regulations, policies, and procedures as well as academic record keeping.

Excellent communication, organizational and interpersonal skills.

Experience with PeopleSoft.

Experience in handling security sensitive information.

Bachelor's in Business, Education, or related field.

Required License / Registration / Certification Work Schedule

Monday – Friday, 8am-5pm, with occasional evenings or weekends as required for divisional events.

Job Duties

o

Establish, monitor, maintain, and oversee both the imaged and physical records of students and alumni.

o

Assist students, faculty and staff with information requests.

o

Explaining policy and procedures to students and other constituents/customers in order to advise them of potential solutions to problems.

o

Process degree verifications through Degree Verify.

o

Coordinate the management of collected data.

o

Promoting and supporting the Office of Student Affairs by participating in various institutional functions and organizations as needed. (i.e. Orientation, Commencement, White Coat Ceremony, Discover MyHSC Day).

o

Perform other duties as assigned.

o

Follow university, state and federal regulations that govern the functions and procedures required for record keeping.

o

Processing of manual transcript requests.

o

Coordinate meeting scheduling with both internal and external parties.

o

Exercise good judgment in making various decisions related to departmental functions.

o

Work effectively with colleagues and students by practicing punctuality, respect for deadlines, collaborative problem solving, and honest communication.

o

Answering phones, directing foot traffic and scheduling appointments as needed.

o

Departmental purchasing through requisition and purchasing card.
