Director or Assistant AD - Facilities & Event Management
Posting Location Abilene, Texas Department Athletics Employee Class Exempt Full-time Basic Responsibilities
A. Plan and direct all home game day and outside event operations/management.
B. Oversee the day-to-day management of facilities usage and maintenance, including, repairs, minor renovations, and scheduling.
C. Assist in other departmental projects and initiatives as determined by the Deputy AD.
Essential Duties
A. Plan and direct all home game day and outside event operations/management.
1. Ensure all athletic games and outside events are operated in a first- class, fan-friendly manner.
2. Foster cooperative working relationships with coaches, staff, and other university personnel.
3. Recruit, hire, train and schedule event management staff (students, staff, contract labor) including all game day and ticket operations.
4. Communicate and coordinate with visiting teams and officials prior to arrival, ensure their needs are met on game day.
5. Set up and tear down for game days and events, including tables/chairs, parking signs, ticketing and replay systems, etc.
6. Have thorough understanding of all facility functions including lights, scoreboards, replay, audio/visual, etc.
7. Have previous knowledge of and commitment to operate all contests according to NCAA, WAC Conference and University guidelines.
8. Maintain accurate and detailed records including time sheets, payroll, event financials, operations checklists, and other related documents.
9. Assist with tracking, organizing, and submitting invoices, as well as monitoring expenses for events.
10. Approve time for all workers in a timely manner.
11. Generate revenue by booking and hosting outside events.
12. Draft, revise and send facility rental contracts.
13. Work with risk management and legal services to ensure appropriate levels of insurance are provided by outside groups.
B. Oversee the day-to-day management of facilities usage and maintenance, including repairs, minor renovations, and scheduling.
1. Management of all athletic facility scheduling and maintenance requests, including coordination with campus partners, staff, security, custodial, etc. Communicate and coordinate regularly with Deputy AD.
2. Meet with campus and outside trades to discuss solutions, take bids on facility needs. Coordination and scheduling of trades to complete necessary repairs and enhancements.
3. Create and maintain master facility calendar.
4. Responsible for submitting, tracking and ensuring completion of works orders and HVAC scheduling.
5. Assist with tracking, organizing, and submitting invoices, as well as monitoring expenses for facilities.
6. As needed assist facilities staff in completion tasks.
C. Assist in other departmental and university wide projects and initiatives as determined by the Deputy AD.
1. Serve as UIL regional director, coordinating and executing UIL spring meet.
2. Assist in creation of facilities maintenance master plan
3. Other duties as assigned
D. Supervisory Responsibilities:
1. Assist in the hiring and training of part-time workers for athletic events.
2. Prepare work schedules and assignments for interns and student workers.

1. Bachelor's degree required, Master's degree preferred.
2. Experience in sports administration, game operations/event management, or business operations, with a strong skill in at least one area.

E. Work nights and weekends from September through May.

G. Ability to endure extended periods of sitting and typing at a computer.
