Job Summary/Basic Function
The Department Secretary will provide clerical support to the department chair
and faculty. This position will take charge of office clerical
responsibilities including typing, filing, reception desk, and all phone,
written and personal contacts to the department while maintaining a
professional and orderly atmosphere.
Located in Lancaster County, Pennsylvania, Millersville University of

Annual Salary Range: $32,978.00 plus comprehensive benefits starting on
the first day of employment, including:
Health insurance – Low bi-weekly premium. Employees pay 5% of bi-
weekly salary for benefit coverage with ability to pay 2.5% when
participating in the wellness program.
Dental insurance – Coverage is free to employee and dependents after
90 days
Vision insurance – Coverage is free to employee and dependents after
90 days.
Group life insurance – equal to annual salary (up to $40,000.00) at
no cost to the employee.
Retirement – 2 plans to choose from.
Tuition waiver – employee, spouse, and dependents are eligible.
Vacation leave – up to 11 days accrued per year for first 3 years,
increases to 19 days per year after 3 years.
Sick leave – up to 11 days accrued per year, including up to 5 days
per year that can be taken to care for a family member.
Holiday leave – Up to 12 days per calendar year.

Required Qualifications
Six months as a Clerical Assistant 1 OR graduation from high school OR any
equivalent combination of experience and training.
Excellent oral, written, and interpersonal communication skills.
Proficiency in Microsoft Office, including Word, Excel, PowerPoint,
Outlook, OneDrive, and Teams.
Ability to:
proofread information for conformance with prescribed standards.

Preferred Qualifications
2 Years of work experience in clerical/secretarial position(s).
Prior professional work experience in an academic setting.
Prior experience using specific systems (Banner, SAP, D2L Brightspace,
Hyperion, People Admin).
Experience in website design and maintenance.
Job Description
Process student employee payroll.
Maintain department chair's calendar.
Prepare travel documents, and purchase orders for department and
department's ancillary activities.
Provide information to student, staff, faculty and others.
Maintain a professional department office environment.
Oversee and manage several department accounts and all relevant paperwork
regarding accounts receivable and payable, including accounts affiliated
with:
Faculty Grants
Faculty-led conferences
Department Special Event Accounts
Development and Fundraising Accounts, and those related to the Entrepreneurial Leadership Center (ELC).
Maintain receipts and reconcile departmental and ELC credit card.
Explain the process for obtaining and completing paperwork for background
checks and clearances to student workers.
Coordinate maintenance, repairs, and housekeeping, communicating with
faculty, staff, administration and students re: coordination of facility
repairs.
Budget management:
Oversee all elements of the department budget and must be expertly
familiar with all on-line budget procedures.
Manage the production/donation budget for Professor of Commnunication &
Theatre who has set up a special account for the production and
distribution of grant supported video productions.
Manage the department's student payroll, coordinating student hours
between the department, the costume shop, the theatre and the broadcast
studios.
Manage another separate account for all broadcast facilities maintenance
and repair.
Administrate all department members' travel.
Maintain department website.
Order all supplies and equipment.
Place all work orders for issues in Hash and Bassler buildings.
All other duties as assigned.
Essential Functions
Work is normally performed in a typical interior/office work environment.
Work indoors in a temperature-controlled environment, dry conditions,
minimal noise. No dust, odors, gases, fumes. Strong lighting levels.
Most work done at a desk, utilizing a computer and phone.
Extensive writing skills (prepare and organize complex documents).
Ability to sit for long lengths of time.
Extensive verbal communications skills (provide information and
assistance regularly).
Intermediate math skills (addition, subtraction, multiplication,
division, fractions, percentages).
Understanding of written directions.
Must be able to lift/pull/push up to 10 pounds.
Very limited physical effort required.
Very limited exposure to physical risks.
