Position Summary Information

General Description/Position Purpose

This position is responsible for the input of all maintenance data within the Registrar's Office, assists with registration of students and all phases of scheduling, and assists with the data maintenance of graduation information.

This position is responsible for knowing all policy and procedures for data input into the student information system. Also, must be knowledgeable in all functions relative to Registrar's Office in the student information system. Among these responsibilities are:

Reviews and processes all data input received from offices throughout the campus. Plans, organizes and prioritizes any requested change. Reviews with Registrar, Associate Registrar, Assistant Registrar for Scheduling and Registration, if request is questionable.

Processes withdrawals from class for all students. Processes withdrawals from college and LOA for undergraduate students. Notify appropriate offices when tuition/aid is impacted. Processes students identified as non-returning.

Process suspensions and expulsions per direction from Registrar.

Monitor class list updates each semester and summer/winter term. Provide follow-up email communications to students and faculty regarding students who are reported as not attending classes.

Assists Assistant Registrar with graduation data maintenance, and assisting with UG graduation set up.

Updates alternate pins, time ticket and max credit information for registration.

Processes non-matric applications for exchange students, visiting students and Wilson College Students.

Works with Student Life Center to schedule study abroad and exchange students.

Responsible for Historical Pulls that must be manually coded in Banner so accurate transcript may be printed.

Determine academic standing of graduate students at the end of each semester and summer/winter terms. Notify Clerk Typist to send appropriate letters to impacted graduate students, make any necessary manual updates in system. Process Level changes for UG taking Graduate Courses.

Responsible for manual coding of appeals after appeals meeting. Responsible for dropping student schedules that are academically dismissed.

Works with the Registrar, Student Accounts and other offices with payment reconciliation including notifying students and coding records in Banner. Assist Student Accounts and Financial Aid with student billing problems related to drop for non-payment and course reinstatement.

Codes and/or updates foreign language, course audits, repeat indicators, satisfactory/unsatisfactory grade mode, student attributes, student type, residency, address, social security numbers, citizenship and military residency coding.

Review Banner catalog updates entered by Associate Registrar.

Serves as a back-up for course scheduling, capacity changes, faculty changes and course restrictions typically handled by Assistant Registrar for Scheduling and Registration.

Aids with input of first-semester freshmen schedules.

Records all Act 48 & Act 45 credits and transmits to the Pennsylvania Department of Education.

Responsible for the processing of non-academic room requests. Review of requests and determination of appropriate room assignments and input into the EMS scheduling software.

Maintain/update academic classroom information in EMS and Banner. Load Banner data into EMS each semester. Participate in annual walk around assessment with Facilities Mgmt. and University Safety Coord.

Work with Student Accounts and Financial Aid with student billing issues.

Reconciles withdrawal report for UG and G students with Admissions.

Studies operation of the office for possible adaptability to other software packages.

Maintain filing and storage system of daily documents and semester reports.

Provides general clerical support to the operations of the Registrar's data office in answering the phone and providing services to students in a variety of areas including: registration and graduation application questions.

Run, distribute, and process various COGNOS reports.

Process UG curriculum changes for students in Banner, and maintain count of high demand major.

Assist with AP, CLEP, and Med-Tech credit when volume demands.

Assist with processing of degree audit exceptions.

Generate and post final exam schedule.

Other duties as assigned.

Minimum Qualifications

MINIMUM EXPERIENCE AND TRAINING: One year as a Data Analyst 1; or three years of progressively responsible experience in the review, analysis, and control of computer processed data. Appropriate post high school education may be substituted for experience on a year-for-year basis. Or Any equivalent combination of experience and training.
