Posting Summary

Rutgers, The State University of New Jersey is seeking a Coordinator of Faculty Affairs Administrator for the Office of Faculty Affairs within the New Jersey Medical School. Under the supervision of the Director of Faculty Affairs, this individual is responsible for all aspects of faculty including hiring, terminations, evaluations, promotions, reappointments, 1-9, payroll matters, etc. Assists in the planning and maintenance of the office to provide the highest level of service. Ensures compliance with all procedures.

Among the key duties of this position are the following:

  • In collaboration with department chairs and administrators, this person will be responsible to ensure accuracy for all transactions related to recruitment, reappointment and advancement of all faculty.
  • Point person for processing faculty personnel actions from start to finish for many of the small departments within NJMS as we centralize these functions.
  • This person will also ensure timely completion of processing of functions such as forms for Human Resources, Payroll, faculty promotions etc.

  • Serves as a liaison between the Office and other administrative units such as Academic Affairs, Human Resources, Purchasing, Accounts Payable and Occupational Medicine Services, resolving problems and responding to inquiries that arise.

  • Ensures compliance with all procedures and coordinates timely completion of all aspects of the hiring process including but not limited to any faculty actions e.g. new hires, voluntary faculty, changes in FTE, changes in title, administrative appointments, promotions, processing of Employment Eligibility Verification (I-9), etc.

    Qualifications

    Minimum Education and Experience

  • Bachelor's Degree in Business Administration or related field, plus five (5) years of progressive professional level experience in the areas of higher education.
  • Experience managing multiple projects with competing deadlines in a fast paced environment and preparing reports.
  • Equivalent education, experience and/or training may be substituted for the educational requirements.
  • Certifications/Licenses Required Knowledge, Skills, and Abilities

  • Must demonstrate excellent oral and written communication skills.
  • Ability to exercise discretion and independent judgement at all times.
  • Must be computer literate with proficiency and working knowledge of database and reporting tools, Microsoft Word, Excel, Access, and PowerPoint.
  • Outstanding human relations and leadership skills, and the ability to function in a team environment.
  • Preferred Qualifications Equipment Utilized Physical Demands and Work Environment

  • Must be able to lift or exert force up to thirty (30) pounds.
  • Lifting when necessary of file boxes and supplies.

    Immunization Requirements

    Under Policy 60.1.35 Immunization Policy for Rutgers Employees and Prospective Employees, Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.
