Monday- Friday; 8:00 am- 5:00 pm, Some evenings and weekends as events require. Event set-up in a variety of on-campus and off-campus situations. Some travel required primarily within the DFW Metroplex.

Job Summary

Assists in developing and leading special events and internal and external community engagement efforts for the College of Science as a member of the Marketing and Communications team. The position will collaborate with the development team in the execution of alumni events and engagement strategy.

Essential Duties and Responsibilities

  • Coordinate, host, and assist with multiple major events annually (i.e., award ceremonies, conferences, banquets, community events, commencement, etc.) for the college and support departmental initiatives.
  • Responsible for securing space and equipment; independently coordinate terms and prices with vendors; managing budgets; directing and coordinating technical and production aspects; and making final decisions regarding event set-up, design, décor and the overall attendee experience.
  • Serve as the lead college representative for UTA Commencement ceremonies.
  • Manage the college's calendar of events, including coordinating with departments.
  • Directly and indirectly support the awareness of events through social media and email platforms.
  • Recommends and contributes to the implementation of strategies for internal and external community outreach, with the goal of cultivating existing alumni and community relationships and developing new relationships.
  • Help coordinate and contribute to collaboration between COS departments for events and outreach.
  • Work collaboratively with the development team to assist in the coordination and execution of the College's alumni relations efforts to increase participation and opportunities that cultivate relationships.
  • May serve on various committees.
  • Meet regularly with the COS Advancement team.
  • Other duties as assigned.
  • Required Qualifications

  • Bachelor's degree in business, communications, hospitality, marketing or a related field.
  • A minimum of two (2) years of experience in event planning, alumni relations, community outreach, marketing, communications, program management or a related field OR a diploma and six (6) years of experience in alumni relations, community outreach, marketing, communication, program management, event planning/promotion experience.
  • Must be proficient in Microsoft Office Suite.
  • Experience using event-based content management platforms, email communication platforms, event planning, purchasing, marketing, assisting with commencement in academic setting.
  • Preferred Qualifications

  • Experience in planning, promoting, and executing prominent high-profile events and knowledge related to alumni relations and community outreach.
  • Experience in a university, education, or non-profit environment.
  • Solid background in management and budgeting.
  • Experience with Adobe Creative Suite a plus.
