Provide professional project coordination and administrative assistance for the Office of Grant and Contract Services. The Coordinator I will help facilitate pre- and post- award contracts and grants administration and a variety of interrelated operational responsibilities, including OGCS communications and serving as a liaison with internal and external customers. The position will report to the Director of the Office of Grant and Contract Services.

Essential Duties and Responsibilities

  • Performs coordination of certain OGCS projects and administrative functions which include:

  • Event planning (Lunch and Learn, webinars, Grant Writing Workshops, Department Research Administrators meetings, etc.).
  • Project management.
  • Triage main phone line and group email addresses to provide general information and/or route to appropriate staff member based on the nature of the inquiry.
  • Complete general information requests.
  • Receive, route and track office documents.
  • Obtain procard and manage all purchasing needs and travel for OGCS.
  • Manage OGCS budget using UTShare.
  • HR duties (timekeeper, posting positions, onboarding and separation) and/or other similar functions.
  • Manage limited submission process – find eligible limited submission opportunities and update website, prepare bimonthly emails, oversee internal competitions, notify participants of results.

  • Manage payroll confirmation process – provide trainings, answer general questions, follow up on outstanding confirmations.
  • Interacts with other university offices, departments and outside agencies and consultants in administering programs and performing required functions.
  • Update and maintain Department website. Coordinates with research communication manager regarding necessary communications
  • May supervise student employees.
  • Perform other duties as assigned.
  • Knowledge, skills and abilities:

  • Knowledge of advance MS Word, Teams, Excel, Outlook and Adobe.
  • Knowledge of PeopleSoft preferred.
  • Outstanding communication and interpersonal skills.
  • Required Qualifications

  • Bachelor's degree or two (2) years related experience.
  • Preferred Qualifications

  • Bachelor's degree and two (2) years related experience in Research Administration.
