Position Details

General Statement

The Office of Admissions is responsible for the marketing, recruitment, application processing, and orientation of new undergraduate students and the maintenance and processing of their records. The office is responsible for upholding Board of Regents and University requirements, policies, and procedures regarding applications for admission, residency, acceptance of transfer credit, and other issues related to enrollment. The successful candidate must have a desire to become part of a successful and energetic recruitment program, be goal-oriented, be able to organize time, tasks, and record-keeping systems, and demonstrate strong interpersonal and communication skills.

Duties and Responsibilities

  • Oversee updating, proofing, printing, and logistics of marketing materials and publications.
  • Manage mailing processes for large-scale communications to new, undergraduate students.
  • Collaborate with University Communications to enhance new student program- related online and electronic communications.
  • Manage inventory, storage, logistics of publications and marketing materials
  • Develop and maintain positive relationships with a wide variety of campus offices.
  • Hire, train, and supervise student program assistants to aid in completion of large-scale mailing projects
  • Extract mailing data from databases such as Banner and Access
  • Plan and oversee various unit and departmental meetings throughout the year
  • Oversee student address updates/corrections provided by the USPS in the MSU database (Banner).
  • Manage inventory, purchase of office supplies and other office needs.
  • Assist the Director of Admissions with special projects, as needed
  • Required Qualifications – Experience, Education, Knowledge & Skills

  • Bachelor's degree or post-secondary education plus applicable experience working with students and programs or activities.
  • Demonstrated excellent written communication and customer service skills, including effectiveness in small group discussions and one-on-one conversations.
  • Demonstrated competence using database, word processing, e-mail and internet software and the ability to accurately perform data entry.
  • Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Experience with college/university student recruitment efforts.
  • Experience with Banner or similar software package/relational database.
  • MSU Bozeman Bachelor's degree.

  • Experience, or interest and willingness to learn, data processing and extraction from databases such as Banner and Access
  • Demonstrated ability designing, formatting, and proofing business correspondence and electronic communications.
  • Demonstrated ability developing and maintaining detailed, accurate record keeping systems.
  • Knowledge of and demonstrated ability in accurately following administrative policies, requirements, and procedures.
  • Consistently exercise initiative and good judgment.
  • Effectively operate work-related equipment.
  • Possess the ability to communicate effectively with employees and the public in person, over the phone and by email.
  • Ability to establish and maintain effective working relationships with co- workers and the public in a team-oriented environment.
  • Ability to represent the Office of Admissions and its programs to others in a professional and courteous manner.
