Job Summary

Under the direction of the Senior Director of Human Resources, Auxiliary Services, the HR Operations Specialist will support Auxiliary Services. The HR Operations Specialist ensures the smooth operation of the reception area of the HR employment office; provides HR support and superior customer service to a high traffic, fast-paced HR office; provides day to day supervision of the HR office; develops and recommends changes to existing workflow of procedures to ensure effective and efficient hiring of student/non-benefitted staff.

Essential Functions

  • Recruit, hire, supervise, and evaluate an HR Support Student Team that recruits, hires, and interviews student workers; develop and deliver student employment training; organize and assign work to student staff.
  • Design and execute student HR training to ensure superior customer service to employees by answering and triaging employment-related inquiries, both in-person and via HR general phone line; distribute new-hire packets according to employment type; verify completion of new-hire packets; update and review HR intake logs; place print orders; update forms and packets as needed; process personnel actions for student employment; perform rapid hire for undergraduate students; and create personnel forms for graduate and international students.
  • Design, create, and support a welcoming and customer service-focused HR employment office; develop and revise office processes as needed to ensure effective and efficient operations.
  • Oversee and supervise office operations and day-to-day activities of the HR Office and student workers. Monitor and act as point person on the two general email accounts and Salesforce; distribute tasks as appropriate to student employees and office staff.
  • Educate staff, student workers, and cross-campus partners on any workflow changes and address concerns and/or issues as needed.
  • Monitor HR log and create daily reports to confirm start date of employment.
  • Participate in project-based HR initiatives.
  • Participate in campus HR professional development training, conferences, and meetings.
  • Other Functions

    Perform other related duties and assist in projects as assigned by the HR Director.

    Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Three (3) years' customer service/administrative experience or Associate's degree or higher with one (1) year customer service or administrative experience.
  • Strong interpersonal skills with the ability to work both independently and as part of an effective team with a highly cooperative and collaborative work style.
  • Contributes to the creation of a respectful, inclusive environment that is supportive of diversity.
  • Strong organizational skills with attention to detail with the ability to complete assignments quickly while balancing the demands of concurrent and potentially competing projects.
  • Uses access to sensitive and/or not yet public university-related information only in the performance or the responsibilities of position and exercises care to prevent unnecessary disclosure to others.
  • Ability to follow written and verbal instructions.
  • Proficient in the use of Microsoft Office software (Word, Excel, PowerPoint and Access).

  • Bilingual ability.
  • Experience working in an HR role in a union environment and or higher education.
  • Supervisory experience.

    This position is designated as essential personnel.

    Work Schedule

  • Monday - Friday, 8:30am - 5:00pm.
  • Required to work occasional nights and weekends.
