Under the supervision of the Vice President of Equal Opportunity & Title IX Coordinator (Associate Vice President), the Case Communications and Support Coordinator will support the needs of the Office of Title IX and Equal Opportunity (OTIXEO) Compliance Initiatives, nested within the Office of University Ethics, Compliance, and Culture (UECC). This position will be responsible to ensuring prompt and responsive case communication including outreach to potential reporting and responding parties, updating, and providing information about rights and resources, and facilitating and coordinating communication and documentation regarding the provision of interim and supportive measures. This position may also provide administrative support in grievance processes, including but not limited to investigations, hearings, and other administrative proceedings. The position requires a highly dependable and capable individual who is dedicated to high-level performance within in a dynamic and high stakes environment

Required Qualifications
Education
Associates degree or equivalent from an accredited college or university with relevant coursework in political science, social work, human resources, public policy human resources, business administration, or equivalent experience.
Applicable coursework and/or training or certification in federal and state civil rights laws and regulations in higher education context.
A combination of experience/skills and education to fulfill the requisite knowledge, skills, and abilities for this position may be considered.
Preferred Qualifications
Experience with applicable sections of civil rights and violence prevention laws, including: California Fair Housing and Employment Act, Clery Act, Violence Against Women Act, Campus SAVE Act, and Americans with Disabilities Act.
· Training certification in Title IX, Civil Rights, or other related compliance topic.
· Training or experience applying trauma-informed approaches to complaint resolution.
· One (1) or more years of experience with enforcing Discrimination, Harassment, Retaliation or Title IX/VAWA/Clery Act policy enforcement in the higher education context.

Case Intake Coordination and Investigation Support
• Conduct meetings and review documents to assess whether alleged student, faculty, staff, and outside third-party conduct violates campus discrimination, harassment, retaliation, or related policy.
• Draft communication or preparation of notes including but not limited to: notice of investigations, referrals or recommendations for appropriate action, and notice of case close closure and outcome.
• Consulting campus stakeholders to facilitate recommendations and proposed sanctions or interim and/or supportive measures (i.e. no contact directives, adjusted schedules, training waivers, academic adjustments, etc).
• Conduct research and prepare memoranda or email communication to support strategy development of inquiries into protected class discrimination from students, employees, and third-parties of policy violations including discrimination, harassment, and retaliation, as well as sex and gender discrimination, sexual harassment, sexual misconduct, and related laws and regulation (Title VI, Title VII, Title IX, Violence Against Women Act (VAWA), Campus Sexual Violence Elimination Act, and Clery Act) in alignment and collaboration with Legal Affairs and other campus stakeholders.
• Schedule meetings and serve as point of contact to liaise as needed between external investigators, parties, witnesses, and other individuals.
• Produce information, documents, and conduct research in support of requests from external investigators, or others providing case resolution services to the University.
• Partner with campus stakeholders to assemble reports for University audiences as requested.
• Assist in replying to inquiries from government agencies (e.g. EEOC, DFEH, OCR, EDD, etc.) and other external institutions in compliance with regulatory requirements

Job Duty – Case Resolution & Hearing Logistics Administration • Manage the administrative and procedural aspects of the grievance process including hearings to ensure the process runs smoothly, effectively, is equitable, and is compliant with applicable state and federal standards as well as campus policy and procedures. • Facilitate communication with parties, witnesses, and other hearing participants, such as gathering individual's availability, determining hearing schedules, preparing and facilitating the exchange of hearing materials. • Receive requests for and arrange any requested accommodations necessary for participation in the grievance process. • Distribute hearing outcome notifications and serve as point of contact for questions in preparation for and immediately following the hearing. • Serve as point of contact and resource regarding procedural questions throughout the pre-hearing, hearing, and informal resolution process. • Assists law enforcement personnel and University security officers in handling reports and complaints of sexual assault and related misconduct. • Facilitate communication to and from the Hearing Officer, hearing panel members, parties, witnesses, Title IX Coordinator, and any other hearing stakeholders, as needed. • Manage and preserve hearing recordings and documents in adherence to University policies and related legal mandates. • Stay abreast of current developments of applicable regulations (such as Title VI, Title VII, Title IX, and Clery Act).

Case Documentation Maintenance, Tracking, and Communication
• Facilitate issuance of case notices to parties/witnesses and document requests from external investigators, legal, and for subpoena production (when not privileged).
• Document, organize, update, manage, follow up on, and track information related to Title IX reports in the office database to ensure accurate and complete data.
• Maintain case records by taking steps such as note and file archiving in the University's case management system.
• Assist with tracking Clery case statistics and other support with compiling the Annual Security Report.
• Ensures composition of compliance reports and recommendations for appropriate remedies according to mandatory deadlines.
• Assist in the facilitation of educational and training programs for the University community related to rights, responsibilities, services, and complaint procedures.
