    The position provides advanced secretarial, administrative, and clerical support to the Dean of Academic Affairs' office to ensure effective and efficient daily office operations.

    Duties include: Assistance to the Dean

  • Serves as the first point of contact for faculty, staff and students seeking assistance from the Deans' office; receives incoming calls and responds to questions or directs calls as appropriate; provides excellent customer service and problem-solving skills.
  • Maintains Deans' calendar to maximize efficient use of the Deans' time.
  • Prepares, organizes, and files paperwork.
  • Prepares correspondence and memorandums.
  • Coordinates, organizes, and assists with hiring processes for new faculty and staff.
  • Assists with collection of course syllabi, office hours and gradebooks.
  • Compiles and prepares reports.
  • Sets-up and maintains current office files (both hardcopy and digital), computer databases, and shared drives.
  • Generates reports as requested.
  • Serves on campus committees as assigned.
  • Assists with event preparation and set-up.
  • Serves as a central point of contact for student and faculty concerns.
  • Other duties as assigned.
  • Budget and Finance

  • Prepares and reconciles monthly budget reports.
  • Assists with annual budget preparation.
  • Prepares and processes travel paperwork; handles travel arrangements as required.
  • Processes reimbursements, requisitions, approved invoices, and various paperwork to ensure timely and efficient business process flow.
  • Reconciles monthly P-card statements.
  • Oversees FSPD processes.
  • Maintains inventory database.
  • Orders and maintains adequate inventory of office supplies.
  • Act as liaison between faculty, staff, human resources, payroll, physical plant, and budget.
  • Serves as central point of contact for HR and Payroll.
  • Assist with faculty pay.
  • Employee Onboarding and Work Assignments

  • Assists with new employee onboarding processes.
  • Works closely with Dual Enrollment office to process and assign faculty.
  • Course Schedule

  • Assists other office staff with processes related to course cancellations and reassignments.
  • Assists with room scheduling as needed.
  • Assist with course schedule and faculty pay as needed.
