Job Title Business Coordinator (Dean's Office)

Full Time/Part Time Full Time FLSA Non-Exempt General Job Description

This is a journey-level position responsible for overseeing the business and financial operations of the dean's office and college. Responsible for accounting, bookkeeping, and recordkeeping, balancing accounts and preparing reports, and administering budgets. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. Reports to the assigned supervisor.

Essential Job Functions

  • Coordinates accounting/bookkeeping functions within the dean's office and the college.
  • Assists in administering budgets by developing, maintaining, and analyzing budget reports; tracks budget changes.
  • Maintains, manages, and reconciles receivables, accounts payable, budgets, and other business accounts within the college.
  • Coordinates office travel and provides oversight of unit travel.
  • Reviews accounts for errors and discrepancies.
  • Initiates and processes requisitions for purchases; maintains requisitions for purchasing inventory of equipment and supplies.
  • Supports academic units in establishing and maintaining accurate shadow budget spreadsheets.
  • Assists academic units and grants with accounting-related functions.
  • Verifies the accuracy of accounting data and entries.
  • Prepares daily, monthly, quarterly, annual, and special reports.
  • Attends staff training and assists with special events as needed.
  • Interprets academic unit, college, and university policies and procedures to students, faculty, staff, and the general public.
  • Maintains and updates dean's office and college procedures.
  • Researches dean's office and college accounts as required.

  • Required Knowledge, Skills, and Abilities

    The individual must possess the following knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

  • Knowledge of, or the ability to learn, university fiscal regulations, policies, and procedures.
  • Knowledge of bookkeeping and accounting procedures and methods, and ability to apply them to specific situations.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • Skill in using computer applications including spreadsheet, database, presentation, and word processing software.
  • Skill in completing assignments accurately and with attention to detail.
  • Ability to learn office- and university-specific software.
  • Ability to set priorities and complete assignments on time.
  • Ability to compile, organize, interpret, and communicate accounting data and results in a concise format.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to work with and maintain confidential information.
  • Ability to communicate effectively in both oral and written form.
  • Ability to maintain effective interpersonal relationships.
  • Physical Demands Required Education

    Bachelor's degree in accounting, business, or a related field is required. Related experience may be substituted for required education on a basis set forth by the Department of Human Resources.

    Required Experience and Training

    Two years of related experience is required. Experience in bookkeeping or fiscal accounting, general office procedures, and computer data entry and retrieval is required.

    Preferred Qualifications

    Experience in higher education is preferred.

    Special Conditions for Eligibility

    This is a security-sensitive position subject to criminal record check. This is an IT-sensitive position subject to Computer and Network Security policy.

    Min Pay Rate Mid Pay Rate Salary Information Commensurate with Experience, Salary Grade - 15 Specific Job Requirements/Duties for this Posting

    This position is located in the Rusche College of Business and reports to the Associate Dean for Faculty and Administration. Duties include training and supervising graduate assistants, maintaining and monitoring business accounts, processing scholarships for the college, managing purchases (including requisitions and procurement card P-card transactions), assisting with accreditation reporting, processing maintenance requests and special building- related projects; may assist with special events hosted by the Rusche College of Business. The position may coordinate office travel requests and reimbursements.

    This position is eligible for participation in the Teacher Retirement System of Texas (TRS) retirement plan, subject to the position being at least 20 hours per week and at least 135 days in length.
