A.T. Still University (ATSU) seeks applications for a non-exempt Enrollment Services Coordinator on the Mesa, Arizona campus. This position provides support for appropriately 3,900 students enrolled at ATSU across 3 campuses studying residentially and online as well as faculty, staff by responding to questions and completing forms as pertains to Enrollment Services.

The pay for this position starts at $18.65 per hour depending on experience.

Job Duties:

  • Process general verifications, transcripts, and licensure forms for all students and alumni. Conduct research and troubleshoot as necessary for proper completion of documents.
  • Manage verifications received via the Federation Credentials Verification Service (FCVS).
  • Respond to tickets received through the ATSU ticketing system for categories assigned.
  • Verify student enrollment and account authorization within the NBME portal for USMLE.
  • Process criminal background check submissions for over 700 incoming students at each program entry point. Coordinate the adverse action process for students that present background checks with findings.
  • Serve as a Point of Contact (POC) for VA on the Mesa Campus.
  • Serve as a Designated School Official (DSO) for F-1 Visa students.
  • Process HPSP scholarship applications and other scholarship forms and respond to questions.
  • Assist with answering phones and email inquiries. Enrollment Services receives an average of 700 phone calls per month and over 1,700 emails per month.
  • Process student name change requests and Family Educational Rights and Privacy Act (FERPA) restrictions requests.
  • Run reports from the Student Information System (SIS) as requested and assist with fulfilling data requests and completing surveys.
  • Retrieve academic records via the SIS and assist with academic files for permanent storage using the imaging system.
  • Assist with the creation of an Enrollment Services newsletter, one for students & one for faculty/staff each semester.
  • Awareness of the Higher Education Act (HEA), Department of Education, Department of Homeland Security, Department of Defense (DOD), and Department of Veterans Affairs compliance regulations for higher education.
  • Awareness of ATSU internal policies and Enrollment Services Policies and Procedures.
  • Ongoing training and development in the areas of: federal financial aid programs, academic records, Family Educational Rights and Privacy Act (FERPA), Student Exchange and Visitor Program (SEVP), internal office professional development, and annual ATSU Required Employee Education (REE).
  • Follow up with students on missing information.
  • Assist with scanning & linking in the document imaging system.
  • Qualifications

    Prior Experience:

  • Bachelor's degree
  • Prior customer service skills, demonstrated written and grammatical skills, and demonstration of basic organizational or coordinating skills are needed
  • 1 to 2 years experience working in customer service-oriented and/or office environment (familiarity with phones, supporting others, and technology to perform a job)
  • Prior experience with tasks requiring organization, tracking, and decision making
  • Proficient computer skills, using Google Suite products and Excel; prior experience with student, customer or patient information systems is preferred

  • Ability to maintain confidential information and protect student personally identifiable information per the Title IV security regulations and FERPA.
  • Must be a team player; expectations include clear communication, regular collaboration and cooperation with others in problem solving.
