Job Description

Reporting to the Department of Medicine Director of Research Administration, the Associate Director in Training and Quality Assurance will serve as an expert in sponsored research grant management and policy for the Department of Medicine. The primary responsibility of the Associate Director in Training and Quality Assurance is to establish standards for measuring staff performance and provide trainings/professional development for new and existing research administrative staff. This role will assist the Director in the departments other Core areas (Clinical, Finance, Education) as it pertains to research.

There are four key areas of focus for this position.

Onboarding and Training for New and Existing Research Staff

  • Design and provide a 6-week training for the new grant managers
  • Create and coordinate a new grant manager orientation schedule
  • Coordinate the BU and BMC system onboarding access for the new grant managers
  • AD Hoc New Staff Onboarding and Orientation
  • Provide annual trainings and refresher seminars for grant managers
  • Quality Assurance To ensure that the quality of grant management is uniform across the Department Establish and track grant manager key performance indicators Provide weekly check-ins with the grant managers using a standard format Provide Leadership with documentations of performance gaps and assist with developing the performance improvement plans Provide documentation of performance excellence to support promotion Design and implement grant manager career classification (Junior vs. Senior) system. • Identify national and regional trainings and conferences for grant managers to attend

    Department Support

  • Provide Leadership support in other Core Areas as it pertains to Research. These areas are Clinical, Finance and Education
  • Serve as the key partner with the Director for DOM Sections, Centers and Cores
  • Work with DOM Leadership on Strategic Planning and Goals pertaining to Research Support
  • Serve as an expert in NIH audit, NIH NCE request strategies, carryforward packet preparation, and other grant management updates
  • Ensure the grant management coverage across the department
  • Communications and Project Management

  • Maintain the DOM website and manage the newsletter to provide updates on NIH policy & institutional process changes
  • Manage the agenda and topics for the quarterly Research Townhall
  • Lead special projects that DOM Leadership identifies
  • Required Skills

    Bachelor's degree with 8+ years of related experience; Masters' degree preferred.
