Position Title Assistant Registrar for Student Resources

Position Summary

The Assistant Registrar for Student Resources is responsible for oversight and management of the student resources specialist team in the verification and processing of registration forms, transcript requests, and verifications of enrollments. The Assistant Registrar for Student Resources reports to the Associate Registrar for Registration and Technology Services.

This position is considered a “Responsible Employee” under Title IX federal regulations and “Mandatory Reporter” under Texas state law and the UIW Sexual Misconduct Policy. As a Mandatory Reporter, this position requires you as the employee to promptly report any incident that you witness or receive information about Title IX violations. These reporting responsibilities are set out in the UIW Sexual Misconduct Policy.

Job Duty Name Registration Add/Drop Form Processes

Description of Job Duties

  • Supervises the processing of registration add/drop forms utilizing Banner SIS.
  • Ensures all documentation adheres to university policies and academic calendar.
  • Works with leadership, Deans, and advisors to ensure documentation is in compliance.
  • Assists the Associate Registrar with Confirmation of Attendance and Academic Calendar.
  • Responds to inquiries from faculty, staff, and students related to all Registrar Office inquires.
  • Performs other duties as assigned.
  • Job Duty Name Transcript Requests

    Description of Job Duties

  • Supervises the processing of transcript request utilizing Parchment.
  • Ensures all transcript requests adhere to university policies and are processed in a timely manner.
  • Assists the Associate Registrar with providing Parchment analytics.
  • Responds to inquiries from faculty, staff, and students related to all Registrar Office inquires.
  • Performs other duties as assigned.
  • Job Duty Name Enrollment Verification Requests

    Description of Job Duties

  • Supervises the processing of enrollment verification requests.
  • Ensures all enrollment verification requests adhere to university and National Student Clearinghouse policies.
  • Assists the Associate Registrar with enrollment verification and NSC reports.
  • Responds to inquiries from faculty, staff, and students related to all Registrar Office inquires.
  • Performs other duties as assigned.
  • Qualifications

    Knowledge Skills and Abilities

  • Knowledge of FERPA;
  • Knowledge of UIW enrollment procedures and UIW institutional policies;
  • Knowledge of National Student Clearinghouse;
  • Knowledge of Parchment platform;
  • Knowledge of Registrar's Office processes;
  • Strong knowledge of Microsoft Word and Excel;
  • Ability to learn and successfully use Banner, BDM and CRM systems;
  • Excellent customer service skills;
  • Ability to work in a fast-paced environment;
  • Strong communication, organization, and interpersonal skills;
  • Strong organizational skills, with attention to detail, to manage time and meet deadlines;
  • Ability to work independently and as part of a team;
  • Ability to effectively collect and analyze data;
  • Ability to work effectively with individuals from diverse communities and cultures;
  • Employee shall adhere to all applicable rules and regulations of the University, the Conference, and the NCAA.
  • Required Education

    Bachelor's Degree.

    Required Work Experience

  • Two (2) to three (3) years of progressively responsible professional experience in a student support office or other relevant environment.
  • One (1) year of leadership experience in a student support office.
  • Preferred Qualifications

    Strong proficiency with SCT Banner & BMDS/Extender.

    Required Certifications, Licenses or Registrations

    None.

    Work Hours

    Mon-Fri 8am to 5pm, with occasional extended hours to meet departmental needs especially during peak periods.
