Job Description:

Under the supervision of the Director of Enrollment Systems and Data Analytics, the Assistant Director of Enrollment Systems executes and coordinates the preparation, data entry, verification, and editing of confidential data within the enrollment systems. Working in conjunction with the Director, this position interacts with other Enrollment Management team members to resolve problems and inquiries, and to establish and maintain efficient data and information flow. Under the guidance of the Director, this position operates as a source of information on specialized data files and records for both internal and external purposes. Resolves problems and inconsistencies with data, performs data analysis, and prepares and generates various reports for the division.

Essential Duties:

  • Provides oversight of operational elements of the enrollment systems and data analytics leveraged by the division.
  • Checks, verifies, and edits data coding and mapping to ensure compatibility with data entry system and procedural requirements; troubleshoots routine data coding issues.
  • Maintains review of data imports into CRM to ensure data entry and source formatting is correct and sustainable.
  • Supports data export needs of the division in collaboration with various partners and initiatives.
  • Works with Admissions functions as necessary to facilitate and expedite the efficient flow of documentation/forms for application processing, and to resolve routine administrative burdens.
  • Inputs and retrieves information in prescribed format, utilizing knowledge of various computer systems.
  • Updates all applications and their respective channels for Undergraduate and Graduate programs, routinely as needed.
  • Creates, maintains, and purges specified data files and logs as required; makes individual and/or mass corrections, modifications, and/or updates to data in files, as appropriate.
  • Maintains review of all fields, prompts, and tabs within Slate; along with producing creative solutions for identified constraints to solve business needs and execute them effectively with little supervision.
  • Supports the querying needs of the division to ensure access to critical and accurate data.
  • Extracts and releases information according to specified criteria and in compliance with established policies, procedures and/or regulations; answers questions on specific data as requested, and prepares reports, as specified.
  • Promotes a service mindset to support the needs of the division of Enrollment, Marketing and Communication through effective outreach and communication of available information, as well as through the development of new information.
  • Uses strong analytical, problem-solving skills to develop and present solutions to complex multi-faceted problems.
  • Ensures strict confidentiality of student records.
  • Requirements:

  • Ability to prioritize, schedule and execute work assignments.
  • Knowledge of computer data entry systems, protocols and procedures.
  • Effective written and verbal communication
  • Skilled in the use of computers and related software applications.
  • Knowledge of relevant policies, procedures, and regulations pertaining to the release of confidential information.
  • Ability to resolve data input, storage and/or retrieval problems and to design solutions and modifications.
  • Ability to maintain confidentiality of records and information.
  • Word processing and/or data entry skills.
  • Working knowledge of SQL
  • Knowledge of efficient document flow procedures.
