Primary Purpose of the Organizational Unit:

The mission of the Department of Chemistry , Physics and Material Sciences ( CPMS) is to provide our students with an excellent education in the physical sciences through coursework in our major concentrations and minor programs, research, and service. We serve the needs of our students by providing a hands-on, engaging experience with faculty and other students, reducing financial barriers, and serving the needs of our nontraditional and military students. Our scholarly activities advance the fields of the physical sciences and provide students with training on safe laboratory practices, professional ethics, and effective communication which prepares them for careers in workforce, graduate school, or other professional schools. We serve our university through our core service courses and innovative collaborative efforts, and we serve the community through our planetarium and other outreach efforts.

Description of Work Continued:

Primary Purpose of the Position: The primary purpose of the position is to provide administrative support to the Chair of the Department of Chemistry, Physics, & Materials Science, faculty members, and students. The Administrative Support Associate prepares letters, memoranda, documents, requisitions, contracts, reports; establishes, organizes, and maintains office files, photocopies, and distributes mail, and complies records/data; greets/assists/refers students/visitors/clients/ faculty/staff/others; makes arrangements for conferences, workshops, and seminars; schedules and coordinates appointments for staff; and orders office supplies. This position also requires knowledge of the office or work units' policies and procedures to communicate information involving programs, functions, and services.

Minimum Education and Experience Requirements:

High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Knowledge skills and abilities:

  • Responds to questions/issues that deviate from standard operating procedures by determining and consulting appropriate resources such as policies, manuals and other staff.
  • Responds to requests for program and procedural information.
  • Contacts service recipients, vendors, or clients to provide or obtain information. Schedules and coordinates appointments, meetings, and events.
  • Demonstrates the ability to work with confidential and sensitive information.
  • Composes written communication with guidance using standard formats.
  • Composes correspondence involving program or operational procedures independently from general instructions or brief summaries.
  • Selects, understands, and fully applies features of a variety of software programs, machines or office equipment that will produce the desired results.
  • Plans and facilitates the support activities of the office; coordinates with others to complete tasks.
  • Assesses and may resolve unprecedented problems that require research and review of policy and procedures.
  • Applies judgment for problem resolutions based on delegated authority from supervisor.
  • Problem resolution requires some interpretation of policies and procedures.
  • Understands programs and services to apply this knowledge in problem- solving and responding to most questions and inquires.
  • Uses program knowledge to interface with other offices and organizations.
  • Records, compiles, and summarizes data using established format. Compiles and organizes information from different sources to develop reports and data.
  • Monitors and reconciles departmental or program budget and tracks travel and office expenditures.
  • Makes recommendations regarding the use and distribution of funds.
  • Personal and professional attributes to include punctuality, diligence, commitment, integrity, initiative, and confidentiality.
  • Excellent interpersonal and customer service skills.
