Position Overview
This position is administrative work responsible for preparing costing and creating invoices for all PDS jobs, creating multiple reports for Associate Director and Director using MIS software. Provides journals for IDT funds transfers. Provides invoices to customers for each order placed. Researches and provides information for customers, CSR's and others concerning invoiced projects. Accepts and posts credit card, check and cash payments. Prepares dept deposits. Enters on-line stationary orders and writes job tickets.Tracks jobs in progress in Avanti and notifies CSR's of orders that need to be billed or cancelled.

Minimum Qualifications
Associate's degree and three years of moderately responsible and varied office administration or business management experience; or any equivalent combination of experience, education, and training.
Knowledge, Skills and Abilities
• Exceptional customer service skills. • Intermediate Microsoft Office skills. • Knowledge of accounting/budgeting procedures. • Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. • Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. • Ability to conceptualize, plan and organize multiple assignments effectively. • Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. • Skill in developing and maintaining good working relationships. • Knowledge of policies, practices, procedures and terminology of assigned function.

Job Duties
o
Understands PDS, UBSC and UNT strategic goals and works to help meet those goals as part of teams and independently. Seeks training to improve knowledge about industry trends and standards and UNT goals and priorities.
o
Works to learn and understand best practices and what methods work best for organizing workflow, directing inquiries and issues to the proper individuals, keeping supervisor informed. Exercises independent judgment and strategic thinking regarding appropriate processes.
o
Preparing job costing/ preparing invoices for all PDS jobs when returned from CSR's. Costing and invoicing done accurately and on a timely basis. Jobs delivered to CSR in timely manner for their review and costing.
o
Reviews and bills RMDS projects as received.
o
Tabulates data and prepares technical, statistical, or special reports and summaries for supervisor and Director. Maintains paperwork in an organized fashion and in accordance to the retention schedule.
o
Provides completed invoicing to all customers. Answers any customer questions about invoices or journal entries. Serves as billing specialist for copy center
o
Creates accurate journals for IDT reporting, correctly posts cash, check and credit card payments and creates dept deposits.Performs IDT billing, monthly report recaps and cash deposits as required by supervisor and university regulations.
o
Monitors printing services email and enters on-line orders for business cards as needed by CSR's at supervisor's direction. Creates work orders in MIS system.
