We have an opening for an Administrative Specialist- Office of the President at our Southwest Tennessee-Macon Cove campus!

This is a full time position reporting to the President. This position assists the President's Office with various office functions to include scheduling appointments, filing, responding to emails, answering the phone and assisting with special events. The successful candidate will be organized and capable of creating a welcoming and professional environment for all employees and guests visiting the College.

This role will be responsible for the following:

Essential Job Functions:

  • Maintain an executive presence at all times as a representative of the Office of the President.
  • Prepare memos, letters and other correspondence; creates spreadsheets and other presentations utilizing various software (e.g. Microsoft Suite- PowerPoint, Excel, Word, etc.); completes College documents and forms to process various actions (such as HR forms, travel claims and meal reimbursements, etc).
  • Utilize exceptional customer service while receiving and responding to calls, taking messages and routing correspondence to address routine and matters of significance.
  • Uses independent discretion in addressing issues, complaints or concerns and determining the best course of action to ensure timely and proper address of the situation. Handles requests and queries appropriately, using appropriate discretion and established College protocols.
  • Assist with special events/events planning.
  • Arrange meetings and appointments; provides reminders of upcoming events, travel itineraries and meetings; ensures schedules are adhered to.
  • Assist with the development and maintenance of an efficient documentation and filing system.
  • Monitor office and copier supplies and ensures all required materials are readily available; manages and sorts mail, greets visitors and creates a welcoming environment for all.
  • Other related duties as assigned.

    Position Requirements:

  • Associate's Degree and two (2) years of appropriate experience or an equivalent combination of education and experience.
