Job Summary/Basic Function
About This Role:
This position reports to the Executive Director for OIES and also works
closely with OIES team members. The person in this role is responsible for
providing administrative and technical support to the department. The
Administrative Specialist exercises broadly delegated authority in the
administration of the department with regards to marketing communication,
purchasing, accounting, office management, and other administrative
activities. Responsibilities require communication and technical skills,
considerable energy, initiative, judgement, reliability, confidentiality,
cultural sensitivity, and organization and knowledge of department and
University policies. Excellent customer service and collaboration skills are
essential for success in this position.
What You'll Do – Position Duties
As a member of our team, you will have an impact on our clients through
accomplishment of the following responsibilities:
Welcome and greet students
Answer office phone calls and study abroad emails
Schedule advising appoints for Study Abroad Office
Promote study abroad on campus and help recruit students to the programs.
This includes participation in all campus activities and promotional
opportunities
Track each applicant's progress in completing the study abroad application
according to schedule
Advise study abroad applicants concerning program options, the application
process, and Lamar's financial and academic policies and protocols
Maintain accurate student files and records and maintain database
Communicate with Financial Aid and Scholarships regarding billing and
budgets for study abroad
Help Coordinator for Study Abroad and Student Exchange with space
reservation, appointments, and follow up with applicants and prospective
study abroad students
Help with outgoing student exchange applications and mail DS-2019 forms to
incoming exchange students
Update Study Abroad website and forms and make purchase orders
Demonstrate proficiency with word processing, database, and spreadsheets
Process study abroad applications through the new CMS/Via TRM system and
assisting in the transfer of the application process
Assist with program logistics including submitting requisitions and
liaising between contacts at international partner universities.
Working with Student Health Center Insurance Coordinator and AHP Health
Insurance
Provider to enroll new and continuing international students and their
dependents with
AHP health insurance for the fall, spring, and summer semesters.

Minimum Qualifications
What You'll Need to Succeed – Minimum Qualifications
To be successful in this role and a great addition to our team we need you
to come with the following:
Some college education and a minimum of two years of administrative
assistant role.
Strong organizational skills that reflect ability to perform and
prioritize multiple tasks seamlessly with excellent attention to detail.
Computer literacy including proficiency in Microsoft suite, (Word, Excel
spreadsheets, Power Point, Publisher) and design and presentation
software.
Experience with event planning.
The ability to develop knowledge of, respect for, and skills to engage
with those of other cultures or backgrounds is required.
Ability/willingness to work some of the evenings and on weekends.
Key Competencies
Experience using technology (i.e Banner, Excel, Social Media, web, etc.)
Experience with visual presentation software and communication marketing
Experience working with business and Industry partnerships
Experience maintaining databases and spreadsheets
Experience entering data, creating data reports, and writing reports
