JOB SUMMARY
The University of Connecticut, College of Agriculture, Health and Natural
Resources (CAHNR) Office of Academic Programs (OAP) is seeking applicants
for a full-time Administrative Program Support 2. Under the direction of the
Associate Dean for Academic Programs/Director of the Ratcliffe Hicks School of
Agriculture(RHSA), the Administrative Program Support 2 position plays a key
role in coordinating Office of Academic Programs activities, managing certain
portfolios, and supporting our students, faculty, and staff.
CAHNR includes 9 departments granting bachelor degrees and the Ratcliffe Hicks
School of Agriculture (RHSA) granting an associate of applied science
degree. The Academic Programs Office is integral to all undergraduate
educational programs in CAHNR with the goal of enhancing Life Transforming
Education for all students. CAHNR works to ensure a sustainable global future
through teaching, research, and public engagement utilizing agricultural,
health, and environmental sciences.
DUTIES AND RESPONSIBILITIES
Include but are not limited to:
Provide direct administrative support for the Associate Dean for Academic
Programs and programmatic staff, handling confidential and sensitive
information, serving as a key resource for students, faculty, staff,
families, stakeholders, and donors maintaining professionalism and
providing programmatic expertise delivered in an approachable manner
respectful of diverse backgrounds.
Assist the Associate Dean and College in the planning, coordination, and
execution of the annual CAHNR commencement ceremony and reception. This
includes corresponding with invitees (~600 students and families,
platform party, University representatives, UConn commencement
coordinator, Communications Office, invited speakers, banner carriers,
etc); coordinating CAHNR commencement committee; planning and
implementation of CAHNR commencement reception, etc.
Manage the College's scholarship selection process in consultation with
the Associate Dean by providing guidance and instruction to departmental
selection committee members on the selection process, coordinating the
Annual Scholarship Selection meeting for the college-wide Scholarship
selection committee; and compiling data and creating reports needed for
committee members to review.
Coordinate annual scholarship giving, and determine that all donor
requirements have been met. Follow up with Departments and Associate Deans
to address additional scholarship distribution or reallocation needs.
Independently manage and coordinate all aspects of the CAHNR Scholarships
Portfolio, which includes serving as the point person for questions from
students, departments, and donors; facilitating communications among all
stakeholders; and overseeing accounting related matters relating to funds
held by the UConn Foundation and the University with the support of the
CAHNR Business Office, and directly communicate with Donors that choose to
donate directly to University accounts (instead of Foundation) per donor
request.
Collaborate with Event Services to coordinate, troubleshoot and execute
CAHNR Scholar's Night for 500+ individuals consisting of
donors/family/student recipients/faculty/staff. Meet weekly with Event
Services and CAHNR development officer for several months prior to the
event.
Manage and execute HR and payroll functions for special payroll and
student employees.
Independently compile and analyze enrollment, scholarship, faculty
teaching, and advising data from a variety of University central offices
and sources to prepare customized reports for use by the Associate Dean
and the entire College.
Manage purchasing activities for the OAP in collaboration with office
staff.
Coordinate and oversee Academic Programs budget (CAHNR and RHSA).
Maintain and monitor fiscal ledgers, keeping the Associate Dean apprised
of account balances. May recommend funds for expenditures such as funds
available from RHSA endowment, accounts available for supporting students
or faculty/staff for travel costs, emergency use, etc. and prepare
financial report to Webster Bank and Trust on RHSA Fiscal year Expenditure
MINIMUM QUALIFICATIONS
Bachelor's degree or an equivalent combination of training and experience.
Two (2) years of related experience.
Proficiency in Microsoft Office Suite including Excel, Outlook,
PowerPoint, and Word.
Experience with principles and practices of budget development and
monitoring.
Excellent interpersonal skills, including demonstrated ability to work
collaboratively with individuals of diverse cultural, social, and
educational backgrounds.
Demonstrated experience providing organizational support in a team
environment.
Clear, positive, and professional written, verbal, and non-verbal
communication skills.
PREFERRED QUALIFICATIONS
Bachelor's degree.
Minimum of four to five years of administrative support experience.
Ability to interpret complex records, assemble and organize data from a
variety of sources and prepare related reports.
Experience working with UConn administrative processes including KFS
(Kuali Financial Systems), Huskybuy, Concur, and/or similar
administrative systems.
Demonstrated ability to work effectively with social media and websites.
Knowledge of CAHNR or related programs.
Experience with university-level student services such as Student
Administration, Financial Aid, Admissions, or similar academic programs,
and procedures.
Experience successfully managing a complex academic (or similar)
portfolio, utilizing skills that would be transferable to primary
management of the CAHNR scholarship program as described above.
APPOINTMENT TERMS
This is a full-time, permanent, UCPEA staff position with an excellent
benefits package. Salary will be commensurate with the successful candidate's
background and experience. Other rights, terms, and conditions of employment
are contained in the collective bargaining agreement between the University of
Connecticut and the University of Connecticut Professional Employees
Association (UCPEA).
